We are currently seeking a highly skilled and organized Executive Assistant to support our Director of Operations. This exciting opportunity offers the chance to play a vital role in ensuring the seamless operation of our business, while collaborating closely with leadership. The ideal candidate will possess a strong background in operations, project management, and executive support, with a keen focus on driving efficiency and success across various initiatives.Primary Functions:Serve as a key point of contact for the Director of Operations, handling calendar management, scheduling, and correspondence.Coordinate and prioritize daily operational tasks, ensuring all objectives are met in a timely manner.Support project management efforts by tracking deadlines, preparing status reports, and assisting with the execution of key initiatives.Manage internal and external communications related to operational priorities.Assist with the preparation of presentations, reports, and other documentation.Handle confidential information with discretion and professionalism.Conduct research and provide recommendations to support anize and attend key meetings, taking notes and following up on action items as needed. Coordinate travel arrangements, accommodations, and logistics for the Director of Operations and other executives as needed.Help streamline and improve internal processes to increase operational efficiency. Secondary Functions:· Possible travel for conferences or business meetings.· Manage information systems operations including hardware, software, desktop support, internaltelecommunications, and strategic systems development and planning.· Replenish office materials such as snacks, printer supplies, paper, office supplies, etc.· Provide event management support as requested. · Provide hospitality to all guests and help to create a welcoming environment.· Process and distribute daily mail.· Invest in building long-lasting relationships both externally and internally.· Other projectsduties as assigned for the overall benefit of the organizationRequirements:· Significant executive support experience, including supporting C-level executives.· Proven work experience demonstrating professional communication and decision-making skills, ability to work independently and prioritize urgent requests· Organizational & time management skills· Communication of concerns, questions, and relevant dealer situations to supervisor· Professional communication skills including the ability to voice concerns, questions and relevant client situations with upper management.· Phone & video (Zoom) conferencing proficiency is a must.· Excellent computer skills including familiaritycomfortability with Apple systems and Microsoft Office Suite (Outlook, Word, Excel)
