DescriptionPine Ridge Advisers, a multi-family office based in New York City, is seeking a full-time personal assistant for one of its clients located in Greenwich, Connecticut. The successful applicant will be comfortable working with a small internal team and external entities to provide personal support in a fast-moving environment. The role is best suited for someone who has attention to detail and can be proactive and thoughtful in designing processes, preventing problems, and driving follow up.ResponsibilitiesBe the communication hub of the family, staff, vendors, PM firm, and family office, via meetings, digital communication, and records retention. Communicate internally and externally in a thoughtful way, keeping the principles informed and ensuring that the family's vision and goals are understood.Schedule and confirm appointments; maintain calendars and plan logistics. Maintain the family's health appointment schedule.Oversee daily operations by engaging closely with staff and vendors to identify any issues and provide valuable solutionsWork closely with property management firms to orchestrate proper coordination of ongoing maintenance and renovations. Anticipate the future needs of multiple properties in Connecticut. Communicate clearly with vendors.Order supplies, and handle mail, packages, and returns. Meal planning and grocery procurementDevelop, implement, and improve protocolspolicies. Use internal and external resources efficiently.Manage household staff (presently a House Manager and a Housekeeper); source new staff as needed (low turnover environment).Periodically assist with child logistics (ages 10-15), including transportation to appointmentsRun errandsUpdate living documents such as house manual and housekeeper "to do" lists; maintain records associated with property maintenance and constructionResearch miscellaneous topics, and orchestrate one-time projectsLight travel coordinationQualificationsBachelor's Degree from an accredited college or university7+ years of relevant work experience as a personal assistant or related fieldDemonstrated experience in maintaining the confidentiality, security, and privacy of a discreet employerExcellent communication skills with internal and external resources in order to represent the Principles wellProficiency with Google Team Drive, Gmail, Google Calendar, Smartsheet, and ability to learn multiple appsPainstaking attention to detail Process-oriented problem-solving skills and ability to find effective solutions for a variety of potential issuesSuperb organization skills and the ability to multitask efficientlyAbility to train and oversee staff both in person and remotely BenefitsPTO Competitive salary dependent upon experienceAnnual discretionary bonusHealth insurance and other benefits through payroll provider401k with employer matchingSalary range $125,000 - $175,000
