Since incorporation in 1991, Fresh Start Surgical Gifts has provided $42 million worth of free medical services to infants, children, and teens, servicing patients from the greater San Diego area and around the globe. Our long-term commitment to each patient ensures the best possible outcome, no matter how long it takes.Job Summary: We are seeking a highly organized and detail-oriented Executive Assistant with strong accounting skills to support our executive team. The ideal candidate will manage administrative tasks, coordinate schedules, and handle basic accounting duties to ensure smooth operations.Key Responsibilities:Administrative Support: Manage the executive's calendar, schedule meetings, and coordinate travel munication: Draft, review, and send communications on behalf of the executive.Document Management: Organize and maintain files, records, and documents.Meeting Coordination: Prepare agendas, take minutes, and follow up on action items.Accounting Tasks: Perform basic accounting duties, including invoicing, expense tracking, and budget management.Financial Reporting: Assist in preparing financial reports and statements.Data Entry: Enter and update financial data in accounting software.Vendor Management: Handle communications with vendors and manage accounts payablereceivable.Project Assistance: Support special projects and initiatives as needed.Human Resources: Responsible for keeping up to date with Federal, State and local employment law and revising Employee Handbook. RelationshipsReports to the Executive Director and Chief Financial Officer.Works closely with the Executive Director, Chief Financial Officer, Board of Directors and Committee Members.Attends and takes minutes at Board Meetings.Qualifications:Education: Bachelor's degree in Business Administration, Accounting, or related field preferred.Experience: Minimum of 3+ years of experience as an Executive Assistant or in a similar role.Attributes: Strong organizational skills, attention to detail, and ability to munication: Excellent verbal and written communication skills.Confidentiality: Ability to handle sensitive information with discretion.Essential Skills · Two plus years of QuickBooks experience.· Proficiency in Microsoft Office Suite.· Ability to organize and manage multiple priorities.Demonstrated ability to work effectively with Executives and Board members.Ability to work independently.Knowledge of accounting principles and budgets. · Employee orientation, training and development.· Excellent interpersonal and communication skills.Ability to communicate in Spanish a plusBenefits:Competitive salary and benefits package.Opportunities for professional development and growth.Collaborative and supportive work environment.DISCLAIMER The duties listed above are intended only as representation of the essential functions of this position.
