We are looking for a Chief Operating Officer who shares these values and is ready to lead by example.Job SummaryThe Executive Assistant will play a critical role in supporting the Awayday Executive Team, working on-site at our Destin, Florida headquarters. This is a full-time, in-office position requiring a highly organized, proactive professional who thrives in a fast-paced environment and is comfortable handling confidential and critical business operations. The ideal candidate is a self-starter, a problem solver, and someone who takes pride in their work, knowing that winning matters and that success is built on attention to detail, responsiveness, and efficiency.The Executive Assistant will be responsible for managing schedules, booking extensive travel, coordinating meetings, preparing reports, and ensuring seamless daily operations for the Executive Team. This role demands exceptional communication skills, discretion, and the ability to anticipate needs before they arise.Key Performance Outcomes Seamless Executive Support: Ensuring that the Executive Team is always prepared and operating at peak efficiency.Effective Travel & Meeting Coordination: Executing complex scheduling and travel logistics with precision.Confidentiality & Discretion: Managing sensitive company and personnel matters with absolute professionalism.Operational Efficiency: Proactively addressing administrative needs, allowing executives to focus on strategic priorities. Team Collaboration: Acting as a central point of communication between executives, internal teams, and external stakeholders.Key Responsibilities Executive Support & Administration: Manage complex calendars, schedule meetings, and coordinate travel arrangements for Executive Team members. Handle confidential and time-sensitive information with discretion and professionalism.Prepare reports, presentations, and executive summaries as needed.Screen and manage emails, phone calls, and correspondence on behalf of executives. Travel & Logistics Management:Coordinate and book extensive domestic and international travel, ensuring seamless itineraries.Manage transportation, accommodations, and meeting logistics for executives attending conferences, board meetings, and site visits.Anticipate potential travel disruptions and proactively troubleshoot as needed. Meeting Coordination & Communication:Plan and execute executive meetings, including preparing agendas, taking detailed notes, and following up on action items.Act as a liaison between executives and internalexternal stakeholders, ensuring smooth communication and collaboration.Assist in organizing quarterly leadership meetings, board meetings, and offsite events. Project Management & Special Initiatives: Support high-priority projects, ensuring deadlines and deliverables are met.Conduct research and compile information for executive decision-making.Work cross-functionally with department heads to ensure alignment on initiatives.Operational & Office Management Support: Ensure executives have the resources they need to operate efficiently.Maintain records, files, and key documents in an organized manner.Coordinate special projects and initiatives as assigned by the Executive Team, ensuring timely execution and follow-through.Desired Qualities & SkillsHighly Organized & Detail-Oriented: Ability to juggle multiple priorities with precision.Strong Communicator: Professional, polished, and adept at written and verbal communication.Resourceful & Proactive: A problem-solver who anticipates needs before they arise.High Level of Discretion: Trusted to manage confidential and sensitive company matters.
