Summary of the RoleThe Accounting Firm Administrator is responsible for managing daily administrative operations, overseeing financial processes, and coordinating HR and compliance functions. Success in this role means delivering accurate monthly financials, maintaining organized records, ensuring prompt billing and payables, and motivating a small administrative team. Reporting directly to senior management, the Administrator serves as a key link between accounting, HR, and operational functions"”driving efficiency, identifying improvements, and empowering the firm to focus on strategic growth and client service.Key ResponsibilitiesFinancial Management:Prepare and review monthly financial statementsOversee accounts payable processes and vendor relationshipsMonitor and facilitate client billing and accounts receivableAdministrative Oversight:Supervise a team of three administrative staff membersMaintain and organize electronic recordsCoordinate office contracts, licenses, and renewalsHuman Resources Support:Assist with onboarding, employee documentation, and HR policy complianceCollaborate on payroll and benefits administrationProcess Improvement:Develop and implement office procedures to increase efficiencyIdentify operational challenges and propose effective solutionsCompliance & Reporting:Ensure adherence to relevant regulations and internal policiesPrepare operational and financial reports for senior managementQualifications3+ years of professional experience in accounting, finance, or related fieldBachelor's degree in Accounting, Finance, Business Administration, or equivalent work experienceWorking knowledge of accounting software (QuickBooks, Accounting CS, etc.) and Microsoft Office (Excel, Word, Outlook)Strong communication, leadership, and organizational skillsComfortable supervising a small teamFamiliarity with HR processes and policy compliancePreferred SkillsDetail-oriented with the ability to prioritize tasks effectivelyDemonstrated ability to streamline and enhance processes to drive efficiencyComfortable managing multiple projects simultaneouslyCompensation & BenefitsCompetitive salary commensurate with experienceComprehensive benefits package (medical, dental, vision)Paid time off and retirement savings planProfessional development and growth opportunitiesHow to ApplyIf you're looking to take on a leadership role in a dynamic environment, we'd love to hear from you.
