The Operations Coordinator role works across all office locations to provide project coordination, travel and logistics support, and stand-in support for offices with absences. Support sales activity by entering and tracking proposals, coordinate and track project activities, and keep projects moving while maintaining outstanding customer service. The role requires a high level of organizational skill, comfort with customer communications (both written and verbal), and expertise with online tools. It will suit someone who enjoys helping support a team, interacting with customers, organizing multiple workstreams simultaneously, and is passionate about running a tight ship while creating a positive team environment.Job ResponsibilitiesProject CoordinationAccurately maintain the status of projects using online tools including CRM, and in-house software to support profitability tools, proposals, project status, and pre-job paperwork including NDAs, COIs, safety, insurance, background checks, and access anize project logistics including access equipment like scissor and boom lifts, and swing stages. Book air travel, accommodation, and vehicles for all interoffice and subcontracted installer travel. Manage project inventory including collaborating with other offices, placing timely orders with suppliers, and conducting monthly checks.Help to schedule work and confirm site readiness.Accurately complete and submit job progress and job completion paperwork, including warranty information, based on customer requirements.Create accurate and timely billing, payroll, and commission statements including progress billing for longer jobs.Office SupportSupport individual office locations onsite and remotely by providing temporary vacation, absence, and overflow cover for the core office responsibilities of the Ops Manager and Assistant role including, inventory, film prep, scheduling, web leads, bid entry, etc. Support the operational effort around integrating newly acquired, newly opened, and relocated office locations, including space setup, utilities, inventory, and operations team onboarding.
