COMPANY: Investment Firm POSITION: Receptionist/Office Coordinator LOCATION: New York, NY HOURS: 8:00AM - 5:00PM COMPENSATION: $75-85K DOE + OT eligible + Discretionary Bonus + Benefits BACHELOR'S DEGREE: Required Our client, an investment firm, is seeking a a Receptionist who will serve as the first point of contact for all visitors and team members, ensuring a seamless, white-glove experience. This role will also be responsible for managing daily office operations, supporting event coordination, and providing high-level administrative support. Responsibilities of the Receptionist: Visitor & Office Management: -Manage the security portal and liaise with building lobby staff to ensure smooth and secure entry for all visitors. -Maintain the visitor management database and ensure all guests are logged and accounted for. -Meet and greet visitors with a warm, professional demeanor, ensuring they feel welcomed and valued while connecting them with the appropriate team members. Communication & Administrative Support: -Screen incoming calls and route them to the appropriate team members. -Handle all incoming and outgoing mail, packages, and deliveries. -Provide high-quality administrative support to external teams and individuals using the office, including setup for meetings and events. Vendor & Facility Coordination: -Coordinate with vendors and building management to ensure the office is impeccably maintained. -Support office-wide events, both internally hosted and locally sponsored, managing all logistics with a white-glove approach. -Manage all office purchasing including the pantry and supply ordering, restock and inventory, working closely with day porters to ensure kitchens and supply rooms are stocked daily. Additional Support: -Assist with other administrative tasks and special projects as needed, including office supplies management and workstation setup. Requirements of the Receptionist: -Bachelor's degree required. -Minimum of 2 years of administrative experience; prior front desk or receptionist experience preferred. -Proficiency with productivity tools such as Airtable, Notion, Envoy, Slack, and Google Workspace (GSuite). -Polished, articulate, and proactive with exceptional communication and organizational skills. -Strong focus on providing a white-glove, service-oriented experience. -Highly organized and able to manage multiple priorities while maintaining attention to detail and a calm, professional demeanor. -Genuine interest in managing front office operations, event planning, and office management. -Energized by working in an ever-evolving, in-office environment, five days a week. -Verification of identity, education, prior employment, and references may be required.
