Global biopharmaceutical company is seeking an experienced Executive Assistant to join their NYC team. The successful candidate will have experience supporting senior leaders, ideally within the life sciences industry.Hybrid schedule, 1-2x in office per weekSalary $100K-$115KHours 8:30am - 5:30pmResponsibilities:Manage calendars for the Senior Vice President and functional heads, scheduling meetings, screening calls, and prioritizing needsCoordinate domestic and international travel arrangements, including visas and documents as neededHandle expenses and prepare expense reports, ensuring timely and accurate processingOrganize and execute internal and external meetings, including logistics (room reservations, equipment setup, catering) and preparation of materials (agendas, presentations)Partner with legal, compliance, and finance teams to manage contracts, purchase orders, and invoices for external activitiesWork with Human Resources to schedule and coordinate onboarding and training for new hiresTrack departmental expenses against budget and assist with cost managementDevelop and manage team collaboration sites and files, ensuring efficient document storage and accessAct as the primary contact for internal and external stakeholders and handle confidential information with discretionRequirements:Minimum of 7+ years of experience supporting senior executives, preferably within the life sciences industryBachelor's Degree preferredExceptional written and verbal communication skills, with the ability to interact effectively with all levels of the organizationProven ability to work autonomously, exercise sound judgment, and collaborate across teamsAdvanced proficiency in MS Office (Word, PowerPoint, Excel)Experience working in a global organization preferred
