As we continue to expand, we are looking for a proactive and results-oriented professional to join our team as a Compliance Specialist.As a Compliance Specialist, you will play a key role in managing and ensuring compliance with contracts across the organization. This role involves collaborating with internal departments, providers, and clients to oversee contract lifecycles and provide input on contract lifecycle management. This position is essential in supporting AlffCo's mission to deliver exceptional commercial facility maintenance services, including interior and exterior repairs, landscaping, parking lot sweeping, snow removal, electrical, plumbing, general handyman work, and other retail, hospitality, and industrial facility maintenance addition, this role will monitor claims and legal actions against the company, submitting new claims, communicating with adjusters and insurance company representatives, creating and updating records, and reporting claim status to management. This role will also oversee maintenance of company insurance certificates and manage provider insurance compliance through the Company's software platforms.The ideal candidate will leverage their expertise in compliance standards to minimize risk, ensure all contractual obligations are met, and maintain meticulous records. By facilitating smooth compliance operations, you will drive operational efficiency, support compliance, and contribute to AlffCo's reputation for excellence.Essential Functions of the Role:Contract Management:· Draft and review contracts, agreements, and amendments to ensure compliance with company policies and legal requirements.· Monitor contract timelines, renewals, and expirations, ensuring deadlines are met.Claims Management:· Submit, monitor, and report on third party claims at client facilities, work comp claims, auto claims, legal actions, and any other related records.Scope of Work Development:· Review Scopes of Work (SOW) from clients for operational specifics and risk assessment.· Create Scopes of Work for providers, clearly defining expectations and service requirements for maintaining client facilities.· Draft new client Scopes of Work and agreements tailored to fit the company's pliance and Risk Assessment:· Monitor provider insurance and contract compliance and report status to management· Ensure all contracts comply with relevant regulations, company policies, and industry standards.· Identify potential risks in contracts and propose mitigation strategies.Collaboration and Communication:· Work closely with legal, procurement, finance, and operational teams to gather requirements and input for contracts.Record Keeping and Reporting:· Maintain an organized system of digital records for all contracts.· Record and maintain client contracts in the organization's Salesforce platform and report on contract status, key metrics, and compliance performance.Technology Utilization:· Utilize the Microsoft Office suite efficiently for document preparation and management.· Provide input on improvements to contract management processes.Other Responsibilities:· Perform additional duties as assigned.· Adhering to AlffCo values and professionalism· Weekendsnights may be required.Qualifications: · Bachelor's degree in business administration, Law, Legal Studies, or a related field.· Proven experience in contract administration, legal, procurement, or paralegal roles.· Paralegal certification or equivalent legal experience is highly desirable.· Strong understanding of contract law, regulatory requirements, and compliance standards.· Exceptional organizational and time-management skills, with the ability to manage multiple tasks and priorities.· Proficiency in Microsoft Office Suite and contract management software.· Detail-oriented with excellent analytical and problem-solving skills.Preferred Qualifications:· Certification in contract management (e.g., CPCM, CCCM, or equivalent).· Experience in commercial facility maintenance or a related industry.· Familiarity with project management puter Skills:· Quick learning ability for new database programs, proficient navigation of communication such as basic knowledge of basic computer and phone knowledge.· Salesforce and proficient in Microsoft Office applications, Teams, and SharePoint a plus.Benefits:At AlffCo, we strive to provide you with a comprehensive and valuable benefits package as an important part of your overall compensation.
