The Executive Assistant to the Chief Operating Officer (COO) and President provides high-level administrative support to ensure the efficient and smooth operation of the executive office. This role requires a proactive, organized, and highly professional individual who can manage a variety of tasks and responsibilities, often in high-pressure and time-sensitive situations. The ideal candidate will have exceptional communication skills, strong organizational abilities, and experience working with senior-level executives. ResponsibilitiesExecutive support - manage schedules, handle confidential information, generate charter agreements, meeting and event coordinationCommunications and correspondence - responding to emails and document requests on behalf of executives, maintain company website, handle phonesResearch and reporting - gather information on various topics as requested, prepare reports and presentationsOffice Management - manage and maintain office supplies for executive team, work closely with HR and IT ensuring smooth daily operationsQualificationsBachelor's degree in Business Administration, Communications, or a related fieldMinimum of 5 years of experience as an Executive Assistant, preferably in a corporate or fast-paced environment. Experience in the aviation world a plus. Experience working with senior-level executivesProficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools (e.g., Zoom, Slack, project management software)Ability to maintain confidentiality and exercise discretionStrong attention to detail and problem-solving abilitiesExperience in managing multiple priorities, administrative coordination, and logisticsWell-organized, detail-oriented, ability to multi-task with great follow-up skillsStrong written and verbal communication skills
