AmTrust owns in excess of 12 million square feet across thirteen major properties in New York City, Tarrytown, Chicago, Toledo and Syracuse.The company is highly entrepreneurial and offers substantial career growth opportunities to strong performers.Job DescriptionThe ideal candidate will be an integral part of the Property Management team. Responsibilities: Tenant RelationsFacilitate regular meetings with all tenant contacts and implement relations programs to maintain tenant satisfaction as measured by formal or informal feedback and controllable tenant retention. Communicate with the owner directly and immediately to advise of any issues and concerns tenants express.Building Operations:Ensure building aesthetics including office space, common areas, and vacant space are maintained to high standards by continual monitoring, identification, and prompt resolution of issues.Identify and assess reductions in annual operating expenses without detrimentally impacting the long-term performance of the Asset. Provide leadership and direction to and effectively manage relationships with other business groups to ensure a high level of tenant service and achievement of company and property goals and objectives.Ensure that building and equipment conditions comply with all local and national building codes and ordinances by way of performing inspections and engaging third party consultants as needed and approved.Ensuring proper building signage in-place throughout the building.Manage Security, Engineering and Janitorial. Recommend resolution to any day-to-day concerns. Maintaining and issuing tenant handbooks and rules and regulations.Lease Administration:Participate in leasing efforts inclusive of partaking in all property tours, development of space delivery condition documents, evaluation of LOI's and lease drafts, and review of proposed tenant space plans.Ensure that proper Lease documentation is distributed to Tenant and ownership to meet deadlines outlined within Lease and documentation of space commencement, construction drawing reviews, suite acceptance letters, Tenant allowance draw requests, etc.Construction Management Assist internal construction team to prepare accurate and complete RFP's for third party architects, consultants, contractors, vendors, etc. Analyze the scope of the project, define the requirements, develop a schedule and distribute to appropriate parties within established timelines. Effectively coordinate development of project budgets and capital projects, with internal construction team. Ensure accuracy of budgets, record expenses, and forecast the remaining cost. Manage the overall budget, update it and track fees and committed costs, including reallocations for change orders and other unforeseen costs.Process, monitor and distribute invoices, billings, fees, AR, and capital draws in coordination with the VP of Operations & Engineering, the Director of construction and Accounting according to company policies and procedures.Maintain accurate, complete and current project files ensuring the appropriate safeguarding of confidential or proprietary information.Development of Operating BudgetsDevelopment and presentation of complete and accurate annual budget, meeting all deadlines and demonstrating thorough analysis and consideration for the goals of the asset as well as market conditions.Meet or exceed goals for reductions in annual operating expenses without detrimentally impacting the long-term performance of the Asset. Service Contract ManagementBack up VP of Operations & Engineering with all major service providers to ensure vendors are complying with contract requirements. Monitor and review Service Contractor invoices and fees to confirm that vendor is billing in accordance with contract terms. Enforce ownership contract forms and review any vendor requests for contract modifications with ownership and risk management. Ensure Ownership Insurance requirements (including Lender) are reflected within all Certificates of Insurance for vendors and Tenant Leases. Conduct field reviews at property to ensure Service Contract work is being completed in accordance with contracted scopes. Meet and correspond regularly with vendors to ensure prompt resolution of any issues. Life Safety PlanningEnsure that third party architects and consultants are accountable for annotation of local and jurisdictional life safety ordinances and codes within their project planning documents.Require staff to schedule bi-annual life safety drills with City of New York Fire Department. Oversee Tenant participation ensuring that all life safety team information is collected and filed in conjunction with drills and in accordance with local code. Ensure that Property emergency procedure manuals are maintained and distributed to Tenants and staff membersAnalysis, Planning, Reporting Maintain contact lists, tracking schedules, building files, etc. in compliance with owner's policies and proceduresAssist in the preparation and distribution of the monthly financial and operational reporting package to OwnerQualifications:B.A. degreeExperience with Union employees required3-5 years of prior property management experience requiredCompensationThe position offers excellent compensation, commensurate with experience, including bonus potential.Benefits include major medical, dental, life insurance and 401k.AmTrust Realty Corp. is an Equal Opportunity Employer
