The General Manager Assistant supports one General Manager and either one or various sites within Amazon Transportation Services (ATS) in DE. Location: DE Reports to: Cluster General Manager Energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative support related tasks and able to work independently with little supervision. Well organized, flexible and enjoys the administrative challenges of supporting one General Manager of multiple sites. Key job responsibilities Be responsible for the overall direction and coordination of the General Manager's travel - schedule cost effective travel arrangements which include: airfare/hotel/ground transportation, etc. Manage and complete expense reports for General Manager as needed. Manage the General Manager's calendar and schedule with diplomacy and discretion. Record actions of meetings and drive these to resolution on behalf of the General Manager. Coordinate engagement activities, offsite meetings, etc. for General Manager with his directs and cluster Sr Leadership members as requested. Manage communication channels across the supported Sort Center cluster, including newsletters, corporate communications and coordinate with on-site POCs for site-specific message boards and feedback channels. Plan, coordinate and organize with onsite POCs the employee engagement events for associates, including competitions, celebrations and handouts, and manage associated budgets and deadlines throughout the year. Act as the cluster liaison for engagement activities and implement/coordinate EU and WW events: coordinating with on-site POCs and raising POs for swag; distribute materials and swag to all SC population when performing duties onsite, etc. Act as the cluster Community Engagement Ambassador, coordinating with site POCs the site charity budget, work with central teams to embed network initiatives alongside local charity donations and campaigns. Work closely with all support staff to build, coordinate and secure robust support and resources for projects and initiatives. Provide guidance for on-site POCs on other administrative support for cluster locations: create event registrations, coordinate logistics for teams as needed. If needed, welcome and coordinate visitors, together with the General Manager or SC Leadership team. Manage multi-sites level procurement through COUPA: place orders, create POs and receive orders. Coordinate with procurement teams to add new suppliers and vendors. Partner with Regional Executive Assistant to maintain company policies as necessary. BASIC QUALIFICATIONS A trusted team player who is committed to company's Leadership Principles. Experience managing events and activities for large numbers of participants, including budget management, supplier sourcing, oversight and delivery. Ability to communicate effectively, both verbally and in writing with a variety of groups such as senior management, peers, and outside contacts and to manage sensitive and confidential information. Ability to prioritize and deliver multiple assignments at any given time while also serving as point of contact for a large team. Ability to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick response, and take effective action without manager direction. Diary management experience at Senior Manager level, including arranging travel and conference calls. Proven administrative ability, with strong organizational skills and proficiency in Microsoft Office and other web-based technology for information sharing. Ability to make a positive contribution to company's culture that fosters diversity, equity and inclusion in the workplace. Attention to detail and problem-solving skills. Local language is a must to be able to efficiently communicate with the SC population. English is mandatory. PREFERRED QUALIFICATIONS Work Schedule: Typical work schedule is Monday through Friday; job duties may require additional hours and availability outside normal working hours. May require flexibility to adjust work schedule from time to time to work early or later than regular schedule. Additional Demands: Must be able to work in an operations environment.
