ORGANIZATION OVERVIEW: Providence House, Inc. is a non-profit leader, helping people overcome challenges and gain independence in the community. POSITION DESCRIPTION: Reporting to the Chief Operating Officer (COO), the Senior Director of Building Operations is a crucial participant in the agency's management team, responsible for managing all aspects of agency-wide building operations. This person will provide strategic direction for the agency's maintenance and building operations aimed at fostering sustainable growth without sacrificing quality management standards. This role supervises the Director of Building Operations, Building Operations Manager, two Superintendents, and a Building Operations Coordinator. This person should be experienced at engaging in motivational and strength-based supervision methodologies. The Senior Director of Building Operations works to continually streamline and standardize operations workflows and processes, creating opportunities for maximum impact on the agency's broader objectives with the least possible fiscal affect. RESPONSIBILITIES: Management Team Leadership Contributes as an integral part of the agency's leadership team, attending and contributing at bi-monthly meetings; Strengthens interdepartmental communication by building relationships across units throughout the agency; Collaborate with management team to create and execute annual vendor appreciation gifts; Participates as an integral member of the project team for any new capital projects and major facility renovations; Attends important internal and external events as an ambassador of our mission and representative of the agency. Personnel Management Fosters an operations unit culture rooted in teamwork, learning, trauma-informed practice, health/wellness, and safety; Supports team members via weekly supervision, unit team meetings, ongoing feedback, and performance evaluations; Reviews and monitors weekly team workplans, track work orders lifespans, and turnover timelines with unit leaders; Analyzes the time and attendance for all maintenance team members to identify areas of improvement and efficiency; Ensures adequate shift coverage and communication of changes with the affected program(s) leaderships(s); Collaborates with the COO to guide the strategic direction and priorities of the overall agency building operations; Establishes an agenda of operations priorities and delegates responsibilities in accordance with advancing these goals. Building Maintenance and Repair Provides all facets of shift coverage, hands-on support, and internal oversight at all Providence House facilities; Supplements project-based work lending additional expertise, experience, and labor to complete tasks on time; Support repairs and preventative maintenance work such as: electrical, masonry, plumbing, painting, and carpentry; Collaborates with team members to complete seasonal checklist tasks and annually required inspection/certifications; Maintains building access control and security camera systems, key inventory, and key management processes; Shares responsibility of on-call emergencies for overnights/weekends to swiftly restore safety and security. Strategy and Financial Management Collaborates with COO on budget, purchase, contract, payment, and reconciliation of building operations expenses; Manages agency-wide purchasing for cleaning supplies, furniture, linens, supplies, and furnishings for units; Develops and implements a short-term and long-term preventative maintenance program (PMP) for the purpose of ensuring that all buildings are maintained in a safe condition and up to building code standards. Updates operations policies, procedures, workorder response framework, turnover timelines, proactive maintenance checklists, seasonal checklists, and daily duties checklists in alignment with PMP and in compliance with relevant laws or regulations; Places purchase orders based on inventory needs and project timelines considering submissions from unit leadership; Prepares reports on budget variance, project progress, team performance, and other relevant information as requested. Vendor Contract and Relationship Management In collaboration with the COO, researches, solicits, and negotiates contracts with external parties based on qualifications, competency, workforce availability, and cost-savings; Reviews external vendor product/project updates from the Director of Building Operations; Conducts unannounced site-inspections to monitor compliance and reconcile reports/contracts with direct observation; Serves as the direct liaison with external property managers, including the Brooklyn Diocese, and external vendors; Manage vendor relationship for headquarters mailing/shipping systems, including machine and supply maintenance and training new personnel to properly use the system(s). Building Operations and Compliance Updates operations policies, procedures, workorder response framework, turnover timelines, proactive maintenance checklists, seasonal checklists, and daily required duties checklists in accordance with relevant laws or regulations; Creates and updates a standard inventory system with methodology for storing/identifying agency property reducing overspending, eliminating unnecessary duplicate purchasing, and curbing economic mismanagement; Shares responsibility of emergency management during overnights/weekends to swiftly restore safety and security; Maintains up-to-date certificate of occupancy and business license documents upon request to funders/contracts; Requests updated certificates of insurance from various carriers on behalf of agency policy holder for contracts/funders; Verifies all building inspections from contract execution to completion through certification with controlling authority (ex: DOB, FDNY, OTDA, DHS, DOHMH, etc.). Provides copies of documents/reports to Chief Operating Officer to file with any necessary parties. Provides input on agency responses drafted with help from COO for filing; Collaborates with the COO to prevent building/funder violations and respond in court as needed; Generates the agency's safety and disaster plan, striving to maintain a safe working environment through prudent policy, preservation of equipment, and the achievement of safe working practices; Safely operates the agency van when driving the vehicle is required to achieve maintenance goals and objectives; Insists on strict adherence to all applicable safety protocols and industry best practices; Performs other related duties as assigned. QUALIFICATIONS: Minimum Bachelor's degree in a relevant field of expertise, Master's degree preferred. Minimum 12-15 years' experience, with 5-7 years of that experience spent successfully managing a team responsible for building maintenance, repairs/renovations, custodial operations, or property management. Demonstrated creation of standardized best practices, methods, and policies while managing a large department. Exhibits abilities related to organizing, planning, scheduling, budgeting, and coordinating to meet deadlines. Must be detail-oriented with immediate problem-solving skills, adept at fiscal management, and comfortable speaking/presenting in group settings. Understanding, or willingness to learn, about trauma-informed practice. Ability to manage multiple competing demands and complex multi-step work projects as a leadership team. Collaborative attitude and approach to management maintaining ongoing communications with team members. In-depth knowledge of building mechanics, electrical, plumbing, and HVAC systems, certifications preferred. Understanding of local, state, federal codes, industry standards in MEP, life safety, and fire protection fields. Skilled in digital literacy, using maintenance managing software, Google Workspace, Zoom, and Microsoft Office. Safely lift and move heavy equipment which may weigh up to 55 pounds regularly. Comfortable climbing multiple floors of steps at a time and using a ladder to complete tasks. Valid NYS Driver's License required. WORK SCHEDULE: The Senior Director of Operations position is a full-time, salaried position. Generally, the hours worked will be weekdays from 9:00a.m. to 5:00p.m., (upon hire, this role will collaborate with the Chief Operating Officer to create a flexible work schedule, including the possibility of working remote one day per week, depending on the unit's workload as projects evolve or it's needed to conduct quality assurance or staff supervision). This role requires frequent evening and/or weekend work. Must be available to manage emergencies (sharing after hours on-call responsibilities with two other team members). The agency has headquarters in Brooklyn, New York but this position requires frequent travel throughout Providence House facilities within the five boroughs of New York City and Westchester County (New Rochelle). Reimbursement for mileage expenses to locations beyond the initial worksite or a monthly unlimited MetroCard is provided. A shared agency maintenance vehicle with EZ Pass is available depending on projects/agency priorities. SALARY AND BENEFITS: The starting salary range is $120,000-$125,000 based on qualifications and experience. Paid time off benefits include: 14 paid holidays, 4 weeks of vacation, 3 personal days, 12 sick days, early closure proceeding any holiday observed on a Monday, and a day off annually in recognition of your Birthday.
