Hogan Lovells US LLP is currently seeking an Associate Recruitment Coordinator who will be responsible for supporting the Associate Recruiting department with a focus on the Northeast region. This role is responsible for coordinating legal recruitment and onboarding of legal (non-partner) positions for the Boston, New York and Philadelphia offices including, but not limited to associates, judicial clerks, attorneys, patent agents/technical specialists, knowledge lawyers, summer associates, and law student interns. The coordinator will work primarily with the Recruitment Manager for the Northeast Region, the U.S. recruiting team, and other departments within the firm to oversee and coordinate recruiting and onboarding activities. This position will also collaborate on special projects and recruitment initiatives as assigned. This position will sit in the New York office. ESSENTIAL DUTIES AND RESPONSIBILITIES Coordinate and troubleshoot all aspects of legal (non-partner) recruiting including application processing and interview scheduling as assigned, to include lateral associates, attorneys, judicial clerks, patent agents/technical specialists, knowledge lawyers, foreign law clerks, summer associates, and other law student interns. Keep managers and relevant practice groups, law school team leaders, and recruitment committee members informed of candidate statuses. Coordinate law student outreach and pipeline programs for the offices in the Northeast Region and on a national basis for assigned schools. Build and maintain relationships with school career services offices. Track candidate outcomes, including offer outreach, follow up meetings and events (including additional interviews and/or lunches, dinners and receptions). Inform interviewers and other key contacts of outcomes and follow up activity. Communicate with candidates and search firms regarding their status as appropriate. Establish and develop relationships with search firms to increase awareness of the firm and specific openings. Monitor the processing of conflict forms, background checks, and reference checks as appropriate. Coordinate the onboarding and integration of new hires by acting as a point person until their arrival, preparing pre-arrival documentation, overseeing orientation in collaboration with other members of the Associate Recruitment Department and other administrative departments, checking in with new hires on a periodic basis, and ensuring a smooth transition to the firm. Help coordinate new hire onboarding by acting as a point person with the internal HL resources (including, among others, Finance, Benefits, IT, HL Learn, and Research Services), preparing pre-arrival documentation, and overseeing orientation in collaboration with the team. Coordinate the planning, organization and execution of the Summer Associate Program in the Northeast Region, including: tracking summer associate work assignments and evaluations, preparing evaluation files for mid-summer and exit evaluations and offer decisions, coordination of summer associate events and social activities, some of which will be held during the evenings, and serving as a contact and information resource for summer associates. Assist the Regional Manager with reporting on recruiting outcomes which may include compiling and analyzing metrics, reviewing survey results, preparing statistical reports, and updating school summaries. Communicate with other Associate Recruitment Department members to share office specific and local market intelligence and to incorporate into broader department initiatives. General Update and organize recruitment information, including informational reference materials for internal use by firm personnel. Keep abreast of changes in firm policies and procedures as they apply to the attorney recruiting and onboarding processes and implement changes as needed. Work with manager to develop and monitor the local recruiting budget. Mentor junior team members including assistants and interns. Participate in volunteer activities as outlined in the firm's Global Responsible Business program. Work collaboratively with Associate Recruitment Department members to support other functional areas, special projects and general department administration as needed. Additional administrative tasks as requested. QUALIFICATIONS 2+ years of legal or administrative experience in a law firm or professional services environment (law firm experience preferred). Strong interpersonal skills, organizational skills, and attention to detail. Strong written and oral communication skills with a service-oriented approach. Must have the ability to communicate and interact with candidates, all levels of firm personnel, and external entities in a courteous and professional manner. Ability to work independently, juggle multiple assignments, and adapt to changing priorities. Must be able to work collaboratively with team members and other firm personnel across offices and across multiple departments. Must be able to work under pressure to meet deadlines. Ability to exercise discretion, good judgment, flexibility, and maintain confidential information at all times. Minimum Qualifications Bachelor's Degree or equivalent work experience. Ability to work core hours from 9:00 a.m. to 5:30 p.m. Must have flexibility to work overtime as needed, particularly from May-August. Proficiency with Microsoft Suite, including Word, Excel, and PowerPoint is required. Experience with databases and applicant tracking systems including Symplicity, viRecruit, LawCruit and/or Workday is preferred. Bachelor's degree preferred. In New York, the annualized salary range for this position is $66,650 to $74,700 depending on the candidate's overall experience and other job-related factors permitted by law. Full time employees may be eligible for a discretionary bonus.
