This position will manage a variety of accounting and financial tasks and reporting, while collaborating with department heads to drive profitability and operational efficiency. Join our dynamic team and play a key role in shaping the financial future of our dealership! Essential Duties and Responsibilities: Trains and supervises office personnel. Provides constructive, ongoing feedback to office personnel. Monitors receptionist duties and responsibilities. Ensures that phones are being answered timely and in a professional manner. Works with General Manager to analyze and organize office operations and procedures. Ensures that remote bank deposit is done daily and accurately recorded. Controls petty cash amounts for the Company and maintains accurate log. Ensures that parts and service cash registers are accurate. Ensures that all vehicles' sales (new, used, dealer trades, wholesales) are posted timely and accurately. Ensures vehicle incentives are verified within the required dates. Records and reconciles incentive payments. Submits all incentive challenges within the timeframe and following the guidelines set forth by Toyota. Monitors the accounts payable process at the Company to ensure the following: department invoices coded correctly, invoices turned in timely to be posted and paid. Directly performs payable work as necessary (i.e., special payables). Maintains accurate files for vendor W9's. Prepares and files year end 1099's. Ensures all Toyota Factory invoices as related to the Toyota parts statement are posted and reconciled monthly. Maintains any required finance product logs for all contracts sold and refunded by the Company. Processes refunds timely and accurately. Follows up on any refund variances, etc. Manages the payoff of vehicle floor plan and works with floor plan representatives with respect to audits. Floor plans new and used vehicles as necessary. Prepares accounts receivable statements monthly. Ensures that statements are accurate and that control variances are corrected. Follows up on collection of past due charge accounts. Responsible for filing small claims paperwork and completion of small claims process. Responsible for an efficient month-end closing process, including preparation of month-end documents and the accuracy of the financial statement along with the underlying general ledger accounts. Ensures all new and used vehicle registrations are complete with title/MSO and completes all title processing in accordance with state law. Processes all replacement title paperwork for trades as needed. Ensures that financial institution payoff checks for vehicle trade-ins are prepared timely and accurately. Reconciles cash flow on a daily basis. Review electronic time clock reports for completeness and accuracy and resolve any time or attendance discrepancies. Partner with Human Resources on Leaves of Absence. Process weekly payroll and corresponding reports from start to finish including employee changes, preparation and submission of payroll and cycle completion activities including General Ledger review and 401(k) transmittal data. Perform account reconciliations and manage employee labor distributions to ensure proper billing of wage liabilities. Frequent internal auditing necessary. Prepare semi-monthly, quarterly and year-end reports (gross payroll, hours worked, PTO accrual, tax deductions, benefit deductions, etc.). Participate in quarterly reporting to include preparing and filing Form 941 (Employer's Quarterly Federal Tax Return) and applicable State Tax and Wage Reports. Participate in year-end reporting to include preparing, reconciling and distributing Form W-2s (Wage and Tax Statements) and preparing and filing Form 940 (Employer's Annual Federal Unemployment (FUTA) Tax Return) and any applicable state reports Perform calendar year reconciliation of wages and 401(k) deductions for annual 401(k) audit and compliance testing. Manage unemployment rate and quarterly tax statement submissions for the Company. Create annual payroll analysis for Workers' Compensation audit. Assists with other projects and duties as assigned. Qualifications/Requirements: Education and Experience: An Associate's degree or Bachelor's degree in Accounting or related field with a minimum of five years related payroll administration experience or equivalent combination of education and experience preferred. At least two to three years of previous supervisory experience Knowledge, Skills & Abilities Required: Ability to effectively manage staff (supervisory experience). Ability to motivate others to work together toward common objectives. Demonstrate exemplary integrity, serving as a role model in exuding trust and honesty and maintaining the highest professional standards. Maintain a personal demeanor consistent with company's culture, contributing to a positive, supportive work environment for all LeadCar team members. Proficient in Microsoft Office Suite (Word, Excel, and Outlook). Strong computer aptitude with ability to learn new software. Excellent verbal and written communication skills.
