POSITION SUMMARY We're seeking a Tourism Coordinator that will report directly to Senior Vice President's on the Tourism Market Development team and provide support to the Tourism Market Development team. The Coordinator must be a team player, organized, detail-oriented, able to multi-task, creative, solutions-driven and work in a fast-paced environment. The Coordinator will lend support to activities and programs by the tourism development team such as, assisting with in-market promotions, educational programs, sales missions, trade shows, and familiarization trips. The Coordinator will handle the administrative duties for the Tourism Market Development team. Responsibilities include the travel trade specialist program, destination presentation, the travel trade inbox, and webinar content. The Coordinator will interact with other departments such as the Communications, Finance, Legal, Marketing and Membership teams. ESSENTIAL DUTIES & RESPONSIBILITIES Manage quarterly updates of the departmental destination presentations Support and update travel trade and member webinar content Develop, submit, and collect surveys related to sales missions, Fams, trade shows, etc. Update content for the Travel Trade Specialist Program Manage content for travel trade newsletters or events in markets where we do not have our international office presence Submit PRF (Project Request Form) and see through all creative elements for Familiarization trips (FAMs), Reverse Sales Mission, and in-market Sales Missions Support and participate (when needed) in familiarization trips, for the Tourism Development team Check travel trade inbox regularly, and distribute requests or leads to market Director Collect and action trade pass requests received through the travel trade inbox Collect content from the Tourism Development team and submit it for monthly newsletter, weekly marketing meeting, board book, retail sector spotlight, annual report, etc. Project Support - develop, manage, execute, and maintain projects, such as small business scholarships and sponsorships Participate in various company events, outside of regular business hours, as requested; some travel may be required Provide tools and resources for international offices reps Onboard, off-board international reps and team members and update onboarding documents as needed Oversee Travel Trade Benefit programs such as the NYC Tourism Pass and the CityPASS KNOWLEDGE SKILLS AND ABILITIES: Provide administrative support: Handle Senior Vice Presidents' travel arrangements and expense reports, as needed Update, schedule, and maintain calendars for department meetings as needed Maintain and update the Tourism Development calendar Collect and organize reports, and filing, as needed Record and track invoices and payments Log relevant information into SimpleView CRM Data QUALIFICATIONS College degree or equivalent work experience in related area 2-3 years of relevant work experience in tourism or hospitality is preferred but not required Proficient in Microsoft Office, as well as other platforms such as Slack, Basecamp, Teams, etc. Strong experience with CRM system Collaborative team player Excellent written and verbal communication skills Solutions-oriented with the ability to handle last-minute changes or shifting priorities High level of discretion, trustworthiness, and confidentiality Strong interpersonal and time management skills Exceptional attention to detail and organization with a high level of reliability and execution; adapt to a multi-cultural work environment General knowledge and enthusiasm for New York City's five boroughs and all neighborhoods Additional language skills preferred Applicants for this position must be authorized to work for any employer in the U.S. We are unable to sponsor or take over sponsorship of an employment visa currently.
