The Wistar Institute is seeking a highly motivated Senior Accounts Payable Associate to work in the Finance and Purchasing department at The Wistar Institute. The responsibilities of the successful candidate will include: Review incoming electronic and paper invoices, sort and distribute invoices to appropriate staff members in accordance with verification and approval policies. Validate and prepare batches of invoices for data entry utilizing a three-way match process i.e. PO, invoice, and receiver. Analyze invoices for accuracy, discount options, missing documentation or required approvals. Data entry into USL Accounts Payable system. Maintain and protect confidential employee records and vendor files. Assist in gathering documentation requested by auditors. Act as a liaison for vendors, principal investigators, and end users to address complaints and resolve past due invoices. Verify AP batch totals and prepare payments for distribution and approvals. Upload Positive Pay file to the bank and post transactions to General Ledger. Reconcile monthly vendor statements and troubleshoots billing or payment issues. Actively participate in finance management system implementations and ongoing improvement including, but not limited to, disbursement and spend management systems. Import and upload all electronic invoicing. Resolve purchase order, invoice, and payment discrepancies. Coordinate accounts payable onsite and offsite record storage and destruction. A high school diploma or equivalent is required with a minimum of three years of Accounts Payable experience preferably with increasing levels of responsibility. Strong knowledge of GAAP, Sarbanes-Oxley requirements, and basic accounting principles is required. Experience utilizing ERP systems (Workday, Oracle, SAP, etc.) is required. Candidates with experience managing ERP system implementation are highly encouraged to apply.
