Yourmissions : Location: Bridgewater, NJ Job Summary and Purpose: The Executive Administrative Assistant will provide high-level administrative support to the Senior Vice President of Commercial Operations and other members of the Commercial Operations executive team. The role will provide a full range of administrative, and operations support while working independently with little supervision. The role requires a demonstration of expert collaboration and communication skills within a fast-paced team environment, promoting knowledge sharing, best-practices capture and dissemination, and workflow coordination. They must be exceedingly well organized, flexible, and enjoy the challenges of supporting an executive office in a dynamic and fast-paced environment. Responsibilities and Key Duties: •Manage and maintain the executive's calendar, including scheduling meetings, appointments, and travel arrangements within and outside of the U.S. •Prepare and edit correspondence, reports, presentations, and other documents on behalf of the executive team. Manage executive team meetings including agenda development and management, meeting minute capture and dissemination, tracking and follow up of action items and off-line work and leading team building activities. Manage confidential information with discretion and exercise sound judgment in dealing with sensitive matters. •Screen and prioritize incoming communications, including emails, phone calls, and requests. •Coordinate travel logistics, including flight arrangements, accommodations, and itineraries. •Function as a liaison between the executive office and other departments within the organization. •Assist with the preparation of financial documents, expense reports, and budgets as required. •Conduct research, compile data, and prepare documents for review and presentation by executives. •Perform general office duties, such as ordering supplies, managing filing systems, and maintaining office equipment. Ability to manage multiple projects and deadlines with accuracy and attention to detail. •Professional demeanor with a strong sense of discretion, integrity, and confidentiality. •Ability to work independently and as part of a team. •Exceptional problem-solving skills and the ability to anticipate the needs of executives. •Experience managing complex travel arrangements and schedules. •Flexibility to manage changing priorities and ad-hoc tasks. Qualifications: Education : Bachelor's degree in business administration or related field preferred Work Experience: •Minimum of 5+ years' experience supporting C-Level executives with the demonstrated ability to conduct complex administrative functions proficiently and in a timely manner while supporting multiple colleagues •Proven ability to work well in a team environment and be able to share and prioritize work appropriately. Excellent oral and written communication skills, including poise and maturity with an ability to respond with diplomacy and professionalism across all levels of the organization. Demonstrated excellent judgment as well as the ability to work with extremely confidential documents and information. High-energy, self-starter who has the initiative to function autonomously, demonstrate resourcefulness, anticipate needs, prioritize responsibilities, and take initiative. Strong time management skills, the ability to function effectively in a fast-paced environment. Models' administrative professionalism and remains calm under pressure. Excellent customer interaction/influence skill Physical Requirements: While performing the responsibilities of the position, the employee is required to talk and hear. The employee is often required to sit and use their hands and fingers to handle, feel and manipulate keys on a keyboard. Often, the employee will be required to stand and walk to different areas of the site. This job will require close vision to be able to see a monitor. Working Conditions: Standard office environment.
