Job Details Level Experienced Job Location West Conshohocken Office - West Conshohocken, PA Position Type Full Time Salary Range $75,000.00 - $120,000.00 Salary Job Category Admin - Clerical Description We are seeking a highly organized and detail-oriented Executive Assistant to provide administrative support to the Practice Leader and their team at Cerity Partners. This role is critical in ensuring the smooth operation of daily functions and delivering exceptional service to our clients. The ideal candidate will be proactive, adaptable, and capable of handling various responsibilities in a fast-paced, dynamic environment. Primary Responsibilities: Coordinate complex scheduling and calendar management for the Practice Leader and team. Manage the content and flow of information to leadership. Maintain and update contact information for clients and prospects. Enter client and prospect data into the CRM system. Respond to event requests, manage sponsorships, and oversee guest registration and greetings. Prepare and distribute mailings and other communications as required. Handle all logistics for meetings, including room bookings, catering requests, and coordinating facilities for setup and cleanup. Maintain organized hard copy and electronic filing systems. Provide general client service and support for Partners and their clients. Offer phone support and manage inbound communications. Complete and submit expense reports for executives. Arrange travel, including flights, accommodations, and itineraries. Assist managing Partner(s) with creating, collating, and distributing meeting and presentation materials, including PowerPoint decks. Plan and orchestrate work to ensure the priorities of the Partner(s) are met, organizational goals are achieved, and best practices are maintained. Perform daily operational tasks as needed and assist in other duties as assigned. Skills and Competencies: Proficient in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook). Experience with CRM systems and calendar management tools. Strong organizational and multitasking skills, with a keen eye for detail. Excellent communication skills and the ability to interact with clients and colleagues at all levels. Ability to manage sensitive information with discretion and confidentiality. Strong problem-solving abilities and a proactive mindset.
