Job Description The Assistant to the Executive Director of the Learning Engineering Institute at ASU provides high-level administrative support to the Executive Director, ensuring efficient and effective operations within the Institute. The position includes complex administrative duties of a responsible, sensitive, and confidential nature requiring considerable independence of action in support of the Executive Director. This position requires exceptional follow-through, attention to detail, and the ability to manage multiple high-priority tasks in a fast-paced environment. The Assistant to the Executive Director is charged with ensuring that the Executive Director is well-prepared for each day and every meeting with internal and external stakeholders, including high-level executives. Working Environment The Learning Engineering Institute is housed on the Tempe Campus of ASU near downtown Tempe. Arizona State University is located in the Phoenix/Scottsdale metropolitan area and offers all of the amenities of a large urban/winter resort area. Activities are primarily performed in a regular, climate-controlled office setting subject to extended periods of sitting or standing. Daily use of a desktop or laptop computer is required. Ability to clearly communicate to perform essential duties. Regular review of completed tasks. Minimum Qualifications Bachelors degree in Business or field pertinent to work unit AND four (4) years of directly related administrative experience; OR, Eight (8) years of directly related administrative experience: OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved. Desired Qualifications Evidence of a Bachelor's degree in Business Administration, Education, or a related field, and four years of experience in executive support, OR eight years of directly related administrative experience. Demonstrated knowledge with complex calendaring, travel coordination, and meeting/event planning. Experience working independently. Experience working in an executive support role in higher education. Calendar and Schedule Management: Maintain the Executive Director's calendar, arranging meetings with senior executives, faculty, and other stakeholders. Ensure seamless scheduling and prevent conflicts by anticipating needs and prioritizing tasks. Take a proactive role in resolving conflicts that do occur to ensure that all meetings and tasks remain on track Meeting Preparation: Gather, organize, and prepare background materials for meetings, ensuring the Executive Director is informed and equipped to engage effectively. Task Coordination and Follow-through: Manage multiple high-priority activities simultaneously, demonstrating strong follow-through on all projects and tasks. Clearly communicate and adhere to deadlines to ensure timely task completion. Stakeholder Interaction: Serve as a point of contact for high-level stakeholders, ensuring communication is handled with professionalism, tact, and confidentiality. Event Coordination: Assist in planning and coordinating Institute events, handling logistics, catering, and RSVPs. Operational Support: In concert with the operations department, analyze and implement improvements in administrative functions, contributing to efficiency and effectiveness across the Institute. Knowledge and Skills: Possesses an advanced understanding of the structure, challenges, and priorities within higher education, enabling effective support and engagement with academic leaders and high-level stakeholders. Strong attention to detail with a proven ability to manage multiple tasks, priorities, and deadlines. Excellent organizational and follow-through skills, with a proactive approach to anticipating needs. Understanding of the Executive Director's role and the significance of interactions with high-level executives and stakeholders. Strong written and verbal communication skills with experience handling confidential information. Ability to thrive in a fast-paced environment, maintaining focus, accuracy, and professionalism. Flexibility with work hours to accommodate occasional early morning or evening meetings or weekend deadlines as required.
