It focuses on strategic planning, project management, change management, data analytics, and process improvement to cultivate a high-performance culture across the organization. Administrative Specialist provides high-level administrative support to the Department of Organizational Effectiveness. Tracks and supports department initiatives, assignments, documents, special projects, and administrative processes. This position works under limited supervision. Essential Functions Performs highly complex and specialized tasks requiring considerable judgment, independent analysis, and decision making. Provides leadership, coaching, and/or mentoring to a subordinate groupActs as the central point of communication for the department, ensuring effective information flow between the director, department, and stakeholders. Coordinates all aspects of meetings, including scheduling, resource preparation, and technology management. Maintains office supplies and oversees equipment needs to ensure smooth daily administrative support and assists in managing strategic initiatives. Tracks project milestones and contributes to the department's workplan by scheduling and tracking assignments. Continuously seeks process improvement opportunities to support the director's goals.Facilitates collaboration within the department and with cross-functional teams. Delegates tasks as needed, listens to feedback, resolves conflicts, and adjusts work approaches to maintain alignment with the director's vision for the department.Assists in the development of project proposals, scopes of work, and key memos. Monitors contracts and timeliness, ensuring that key details and contract terms are managed efficiently in coordination with the director.Manages essential administrative workstreams, including financial tracking, travel arrangements, and correspondence. Provides administrative support that allows the department to focus on high-level strategic planning and organizational effectiveness. Requirements Required Knowledge, Experience, And TrainingHigh school diploma or equivalent and 6 years of experience working in a public administration environment or a related field, or an equivalent combination of education and/or experience.Knowledge of: the principles of project management and organizational development; research techniques and report writing; office administration, management practices, and procedures; principles and practices of business communication; general office applications and project planning and analysis; and computer usage including related software.Ability to: use logical reasoning to effectively analyze and evaluate complex problems and issues to make sound recommendations; manage multiple requests/projects based on the need for immediate action in a fast-paced, changing environment; accomplish tasks through exceptional organizational and prioritization skills with emphasis placed on detail and accuracy; develop and maintain effective working relationships with individuals at all levels of the organization; communicate effectively in the English language at a level necessary for efficient job performance; and perform all essential functions as assigned by an authorized employee, supervisor, and manager with or without reasonable must be capable of operating vehicles safely and have an acceptable driving record.Preferred Knowledge, Experience, And TrainingBachelor's degree in business or public administration and 6 years of experience in a similar environment.Licensing And Other RequirementsValid state-issued driver's license.Special RequirementsApplicants must be able to pass:City of Boise background check processes which includes a criminal history check and reference checks in accordance with the City of Boise Hiring Process RegulationDriving Record Check Working Conditions The physical effort characteristics and working environment described here are representative of those an employee encounters while performing the essential functions of this job.
