Cozen O'Connor is seeking a full-time remote Document Specialist to work 35 hours within the Document Production Center (DPC). The Document Specialist will work either Monday through Friday, 4pm - 11:30pm ET. DUTIES AND RESPONSIBILITIES Transcribe and revise correspondence, pleadings, discovery, memos, reports, special forms, voicemails, Big Hand (digital dictation) and hard copy documents, in an accurate and timely manner for review by the attorneys and/or paralegals. Knowledgeable in Adobe Pro. In addition to this: Converting PDFs to Word Reduce file size Using the editing tool in PDFs Typewriter tool to change/add text Inserting signature Create JPEGS/images to PDF Bates labeling OCR Text Searchable How to create a PDF Portfolio for bulk bates labeling documents Preparing mass mailing mail merges. Clean/format documents using DocXtools to apply firm styles. Knowledge of cross-referencing and of blacklining documents using Litera or other comparable program. Prepare table of contents/table of authorities/points and authorities using Best Authority. Generating bookmarks and assisting with creating closing binders, and hyperlinking the index of the closing binder to the embedded documents in the binder. Generating comparisons, proofing and formatting various types of documents Creating professional PowerPoint presentations from start to finish and formatting/printing complex Excel spreadsheets. Inputting attorney's time using Intapp. Creating timelines and organizational charts using either Word, Visio or PowerPoint. Work with Page Vault. Learn the process of E-Notary. Learn the process of DocuSign. Other duties as assigned. QUALIFICATIONS AND REQUIREMENTS At least 3 years of word processing experience preferred. Typing speed of 50 words per minute. Proficiency in Windows 10 and 11, Microsoft Office 2016, Outlook, iManage Work or comparable Document Management System. Working knowledge of scanning equipment, Dictaphone, and general office technology equipment. Excellent communication skills, time management skills and attention to detail. Ability to be flexible.
