Real Estate and Facilities Services ManagerHouston, TXOur client, a growing independent oil and gas company, is seeking a Real Estate and Facilities Services Manager to oversee all aspects of their office space. This individual will develop and manage a world class work environment to enhance the employee experience and manage relationships across the enterprise. Additionally, this manager will also lead a team responsible for the administrative functioning of multiple offices.RESPONSIBILITIESOperational Management:Oversee the portfolio-wide real estate strategy (Houston, Colorado, Canada, Field sites)Project manage build out of office space in alignment with company needs and project timelineEngage with senior leadership and employees to ensure that real estate assets are deployed in alignment with Company cultureOversee multiple functions of building projects including capital project buildouts, maintenance, site improvements, (ex. Building, parking areas, HVAC, mechanical, electrical, plumbing, utilities, and infrastructure systems)Manage project schedules, identify risks, and clearly communicate to project stakeholdersManage and implement office layout areas including offices, workstations, collaboration spaces, and conference roomsParticipate in technical meetings with clients, construction staff and internal and external technical and functional teamsParticipate in budget reviews for each phase of a project, including planning, active work, and completionManage and prepare budget reports and variance reports for capital projectsWork with cross functional departments to ensure legal and safety complianceManage facilities (third party and building management) and office services teamsAdministrative Oversight:Supervise day to day operations, developing and guiding the team to perform efficiently and effectivelyProvide process and procedure training. Conduct financialbusiness analysis including preparation of reports.Coordinate, oversee andor manage repair and maintenance work assignments performed by technicians, vendors and contractors performing building maintenance, landscaping, and janitorial workBudgeting, tracking, and reporting financial metrics for real estate, facilities and office services, controlling costs and landing in budgetImplementing appropriate plans and programs to meet andor exceed the financial objectives within the accountImplement processes and procedures to manage office needs (supplies, events, office moves)Calendar management for the officeCoordination with all relevant vendors necessary for office operationOversee contingency planning and business continuity plansMaintain a comprehensive understanding of daily operations, policies, and procedures; identify operational roadblocks and process gaps; and ensure effective roll out and adherence to workflow changesProactively solicit and problem solve issues faced by department needsOversee the administrative team to carry out clerical duties such as answering phone calls, responding to emails, and preparing documents, including email notices, office correspondence, memos, and presentationsCoordinate and manage appointments, meetings, and conference room schedulesWork with admin staff to ensure offices and other spaces are reserved for staff and visitorsCommunicate with all levels of business functions including executive leaders, management, peersMinimum QualificationsBachelor's degree in a field of business, finance, architecture, or related field7 years of proven and documented success in the assetproperty management industry with direct practical experience setting up operations, operating and managing sophisticated facilitiesAbility to lead diverse and distant teams through change and organizational transformationExceptional communication skills are requiredStrong financial acumen and budget management experienceComputer proficient skills with strong knowledge in spreadsheet preparation and working experience with all Microsoft Office Products, including but not limited to, Project, Excel, Word, Outlook, and with skills to learn proprietary software systems utilized by the CompanyExperience in all phases of property operations, inclusive of asset and property management functionsExperience with complex, highly technical commercial building system applications, including building system commissioning experience and set-up strategiesActive in community and industry organizationsKnowledge of key liability and legal issues in property managementProactive; flexible with unexpected and challenging changes; ability to work under pressure and tight deadlinesPrevious experience working with highly confidential and sensitive information requiredAbility to work in a fast-paced and fluid environment, flexible with the demands of a growing companyCertification in Facilities Management a plus
