Job Summary We are seeking a dedicated and professional Office Manager/Front Desk Coordinator to join our team. The ideal candidate will be the first point of contact for guests and will play a crucial role in providing exceptional customer service. This position requires strong organizational skills, effective communication abilities, and a friendly demeanor to ensure a welcoming atmosphere for all visitors. This position also requires travel to our satellite offices 1 day per office per month (3 days per month). Responsibilities: Reception and Call Management: Serve as the front desk receptionist, greeting visitors and answering incoming calls professionally. Direct calls and messages to appropriate personnel, ensuring seamless communication. Office and Conference Room Management: Maintain cleanliness and readiness of conference rooms, ensuring equipment and supplies are available and functional. Coordinate and schedule use of conference rooms for team meetings and client presentations. Inventory and Supply Management: Track and manage office supplies, including ordering and restocking as needed. Maintain inventory levels to ensure office operations run smoothly and efficiently. Building Maintenance Communication: Act as the primary point of contact for building maintenance issues and coordinate necessary repairs and services. Liaise with building management and maintenance teams to ensure a safe, clean, and well-functioning work environment. Support Satellite Offices (Monthly Travel Required): Travel to satellite offices 3-4 days per month to provide on-site support and address specific office needs. Ensure uniformity and consistency in office procedures across locations. Requirements: Proven experience as an office manager or in a similar administrative role. Strong organizational skills with the ability to multitask and prioritize tasks. Excellent communication and interpersonal abilities. Proficiency in office software (e.g., MS Office Suite). Reliable and punctual, with a professional demeanor. Ability to travel 3-4 days per month to satellite office locations. Preferred Qualifications: Experience in managing supplies and handling building maintenance communications. Prior front desk or reception experience is a plus.
