Role OverviewThe ideal candidate has a passion for YouTube, fashion, beauty, social media and an interest in project management. They should be professional, flexible, solution- and detail-oriented. The incumbent is outgoing, poised and a strong communicator with exceptional interpersonal skills. They have the ability to work efficiently with the team in a fast-paced environment with high volume e-mailworkload while communicating and balancing priorities across multiple projects. This role will provide support to Talent Managers and their roster of managed talent. This role will heavily focus on the coordination of campaigns as well as the administrative tasks required to push projects forward. This role is vital to the day-to-day operations of Rare Global, as you will liaise between talent and brandsagencies and third parties to ensure streamlined communications and a seamless experience for all. At Rare Global, our work model combines in-office and remote work arrangements. Beverly Hills is our primary location, where you'll be working on-site Monday, Wednesday, and Friday. Then, you'll have the flexibility to work remotely on Tuesday and Thursday. Additionally, we offer permanent Summer Fridays every Friday, where work ends at 3 pm. What You'll Doâ— Project manage and execute partnerships with talent from post-contract phase through campaign completion, including coordinating brand campaign timelines, creating briefs, scheduling callsshoot dates, coordinating content calendars, overseeing shipments and arranging preview and live datesâ— Provide administrative support to Talent Managers and talent roster including filing, calendar coordination and managing call sheetsnotesâ— Arrange and coordinate meetings and travel for Talent Manager andor talentâ— Attend eventsset visits with talent, if neededâ— Create, update and maintain decks, presentations, case studies and progress sheetsâ— Communicate rates to brand partners, confirm firm offers to clients and daily input all deal terms and campaign details into CRM and accountingtracker system â— Input and submit invoices for finance departmentâ— Edit andor update contracts, eventually assisting in the redline processâ— Show interest in and willingness to understand rates and negotiationsâ— Work with the finance department and finance software to ensure invoices are submitted accurately and on timeâ— Eventually run point on proactive outreach â— Participate in company-wide initiatives and activitiesâ— Participate in and contribute to events around our non profit, The Be Rare Foundation Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job as this may change at any time with or without notice. Requirementsâ— 2-4 years of administrative assistant project management experience in a related field (i.e. talent agent, talent management, PR, digitalinfluencer marketing, social andor brand)â— Strong written, verbal, and visual presentation communication skillsâ— Excellent interpersonal skills; ability to interact with all personality types and behaviors; flexibility and adaptability along with ability to handle confidential informationâ— Ability to work efficiently in a fast-paced environment with a high-volume emailworkloadâ— Proactive, organized, and solution and detail-oriented work styleâ— Ability to problem solve while working in a deadline intensive environmentâ— Experience in the influencer digital media industry as well as social media best practicesâ— Passion for social media and brands, with interest in developing talent relationshipsâ— Perfect entry position for someone who wants to become a Talent Managerâ— Working knowledge of Adobe Acrobat, Adobe Illustrator, Microsoft Office, G Suite, Zoom, Mac, Canva, Photoshop, Slack and Notionâ— Experienced using Instagram, YouTube, TikTok, Facebook, Snapchat, etc.â— Knowledge of Google Analytics and traffic analysis tools (ex.
