Position Details Summary Operating Title Development Associate Long Classification Title Development Associate Campus Location Keene Department KSC Advancement VP Office Summary of Position Keene State College welcomes applications for a Development Associate to provide administrative support to the Advancement team, including tracking the various budgets associated with the team's activities. Seeking strong budget tracking experience, strong organizational experience, and a love for the details who thrives in a team environment. The Development Associate most closely supports the Vice President of Advancement; the Director of Alumni Relations; the Director of Development; and the Donor and Foundation Relations Manager. Support activities include project management; budget support; being the "face" of the Advancement team to incoming inquiries; internal and external event support; meeting scheduling; and, as appropriate, database, gift processing, and event registration support; writing and editing projects; and donor communication and stewardship. This position also plays an integral role in providing administrative support for the Keene Endowment Association, including developing materials, taking minutes at meetings, scheduling, and following up on action items. Additional Preferred Qualifications Administrative support experience at the executive level, preferably in higher education; intermediate to advanced computer skills, knowledge of Raiser's Edge systems and budget management; experience hiring, training and managing students; and experience working with boards a plus. None applicable Duties / Responsibilities Job Duties Duty/Responsibility Administrative Team Support and Project Management Advancement Team Proactively maintain overall high-level Advancement plan for year Update communication calendar spreadsheet by obtaining information from project leads Act as "traffic controller" for group; proactively remind team members of deadlines and goals Manage Keene State Today deadlines and collect edits, and be liaison with Adv. Duty/Responsibility Budget Support Support VP of Advancement in all budgeting processes, including developing yearly budget Track overall budget to ensure team comes in at budget Work with project leads to develop and communicate budget at the beginning of the fiscal year; regularly throughout the year; and for various projects at beginning of project Input invoices for payment, track payment status, ensure correct cost coding used Coordinate vendor contracts with USNH Duty/Responsibility KEA Support Attend committee meetings and record meeting minutes Update Board Roster as needed Request and track annual compliance forms Provide information for USNH as requested for tax filing purposes Scheduling committee meeting Work with commitee member(s) to set meeting agendas Compiling meeting materials for each meeting KEA website redesign (working with Fundraise Up) / coordinate with KSC marketing Updating annual binder materials Duty/Responsibility Other Administrative Duties Submit MROs for building maintenance at Alumni Building & College Camp (may change with shift of events) Order and maintain office and kitchen supplies as needed Maintain supplies in copy rooms (tidy/organize as needed) and coordinate service calls as needed Assist with onboarding of new employees Update contact lists for Alumni Building & distribute Coordinate student worker duties/schedules Review and approve timecards for student workers and adjunct staff hourly workers Other duties as assigned.
