The Project Management Office (PMO) is part of the Office of the CIO reporting to the CIO and is responsible for managing projects for the VCCS. These projects include large, complex, and transformational projects such as ERP implementations and upgrades as well as smaller projects for the System Office and individual colleges in the VCCS. These projects impact faculty, staff, and students at Virginia's Community Colleges. This position includes the role of Project Coordinator for larger projects, and Project Manager for small to medium sized projects. As a Project Coordinator this position is responsible for working closely with the Project Manager overseeing enterprise projects. The Project Coordinator will assist with creating comprehensive action plans concerning resources, budgets, and project schedules. The Project Coordinator will participate in project design meetings and in coordinating team members to keep workflow on track. The Project Coordinator will assist with managing project documentation and communication. Position is non-public facing. Employee provides project management services in support of 25 state agencies across the state. Employee is expected to work outside of normal business days and hours to meet established business goals and implement projects. In order to minimize the impact of system changes on students, the nature of the work requires that the employee must be able to work fully remote. Ensure the efficient operation and continuous improvement of the Team Dynamix ITSM system to support VCCS's IT service management needs. Establishing and managing VCCS Technology Projects or Programs in compliance with VCCS and relevant Commonwealth of Virginia policies and standards related to Project Management. . Establishing and maintaining effective communications and coordination within the ITS organization as well as with the System Office, the twenty-three colleges, the Shared Service Center, external state agencies, and all business partners. Ensuring compliance with VCCS and relevant Commonwealth of Virginia policies and standards related to Program or Project Management. Provide remote project management consulting services for VCCS colleges, and System Office departments. Developing reports, correspondence and documentation in order to fulfill administrative reporting requirements. Contributing to and participating in supporting VCCS Governance and the Information Technology Mission in accordance with the VCCS Information Technology Plan and directions received from the VCCS CIO. Additionally, this position will be integral to helping to update the VCCS PM toolkit including PM Standards, Guidelines, templates, and best practice processes that meet our level 2 PM authority. This position requires great attention to detail and the ability to adapt to change and lead others through project processes to ensure the most effective team results. Must be proactive, able to multitask, organized, and motivated to develop skills and abilities in Project Management. Special Assignments May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor. KSA's/Required Qualifications Comprehensive knowledge: * Working knowledge of Project Management standards and PM terminology * Knowledge of various communications and document management tools which may include G Suite, MS Teams, and SharePoint. * Experience supporting ERP implementations. Able to multitask. * Independent/self-directed learner * Organized, and detailed oriented * Motivated to gain a greater knowledge of the Project Management processes and supporting tools. Considerable knowledge: * An understanding and management capability related to the effective strategic and project planning, development, and implementation of a highly technical and complex information technology infrastructure Working knowledge: * Understanding of COV governmental and reporting requirements (IT related) or similar. * Understanding of Information Technology Investment Management. * Knowledge of current trends and advancements in information systems and enterprise wide implementation. * Knowledge of effective means of creating documentation (Project plans, white papers, models, guidelines, user guides, procedures, test plans, implementation plans, etc.). * Knowledge of design and operational principles applicable to the current enterprise technology infrastructure. * Understanding of the principles of Total Cost of Ownership (TCO). * Understanding and familiarity with VCCS and COV procurement policies, standards, and guidelines. Some Knowledge: * Higher education and specifically community colleges.
