This position assists in all areas of Postal Services at both the Green Hall and Student facilities. This person is responsible for training in all aspects of Postal Services with the purpose of filling in where needed. They must be trained in both the Route and Shipping Specialist position. This person must have a working knowledge of all four delivery routes. This consists of regularly training on these routes to maintain a current knowledge of all routes. They must also be trained on all aspects of shipping counter duties. They must be able to run the meter machine. They must also have a working knowledge of all policies and procedures of the USPS, UPS and FedEx. This person must train with Cashiering on cash handling policies and procedures related to accepting cash, checks, and credit card payments through our POS system. This person may be called upon to fill numerous duties throughout any given day. This person in an integral part of Postal Services. They play an essential role in keeping Postal Services running smoothly and logistically sound throughout busier and/or understaffed times. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES Properly sort incoming mail and packages based on knowledge of the University and its operations across 100+ departments. Evaluate daily delivery load and plan a logistically efficient route for delivery. Utilize custom software for scanning every package or item to be delivered and accurately enter delivery information into software. Load carts, vans, trucks, and box trucks with various packages and items for delivery Safely operate LU vehicles ranging from cars to large vans and box trucks. Make at least three trips daily to the local USPS facility to receive and deliver USPS mail and packages. (If it is required to fill in for this route on that specific day.) Use SCLogic package management software to receive, sort, and deliver all items. Provide faculty, staff, and students with accurate postal information or direct where to find an answer to any question. Have a working knowledge of the postal policies and procedures for each of the 4 carriers for incoming and outgoing mail and packages to properly sort and address items. Deliver all University mail and packages to their respective location or department on campus via vehicle, walking (up to 6 miles daily), or a combination regardless of weather or number of items. Deliver mail and packages to departments off campus throughout the city. Pickup outgoing packages from both on campus departments and off campus departments Deliver student packages to the student mail facility and pick up outgoing mail and packages from the student mail facility daily. Scan and process outgoing packages for the correct carrier and prep all outgoing items to be transferred to the respective carrier at the end of the day. Provide an accurate quote for items being shipped based on carrier preference, time of delivery, item size, weight, and destination. Aid the staff at the student mail facility during times of increased business in processing and delivering packages, following the student mail facilities policies and procedures Research and identify incorrectly addressed mail and packages Properly unload and sort incoming mail and packages from up to 4 different carriers based on knowledge of the University and its operations across 100+ departments. Reroute improperly addressed mail and packages to the correct location or carrier. Safely handle packages ranging in weight from 1lb to 100lbs. Communicate with customers via phone, email, or in person Handle special shipping requests by departments outside of the normal operations. Process and handle rental agreements for in house rental boxes. Communicate with Route Specialists about departmental changes Utilize various shipping resources to calculate shipping quotes from 3 different carriers Communicate via phone to process shipments remotely Scan incoming shipments and mail being held in facility and assign appropriate shelf location Sort, organize, and prepare shipments leaving the facility based on individual carrier regulations and policies. Accurately process returned packages to their original sender based on carrier specifications. Accurately process and balance cash drawer daily Operate meter machine to accurately apply postage to outgoing letter mail QUALIFICATIONS AND CREDENTIALS Education and Experience Working knowledge of the Windows operating systems. Working knowledge of the following software: Excel, Outlook, Word Ability to develop a working knowledge of SCLogic Management Software Working knowledge of Pitney Bowes shipping and processing software Understanding the general postal process Knowledge of operational procedures of USPS, UPS, and FedEx preferred Generating reports and analyzing data for inconsistencies High School Diploma Required Experience in operating vehicles of different sizes ranging from sedans up through box trucks. Count money in cash drawers at the beginning and end of shifts to ensure that amounts are correct and that there is adequate change Problem Solving Intuitively able to reason, analyze information and events, and apply judgment to solve problems of both a routine and complex nature. Physical and Sensory Abilities Required to travel to local and campus locations. Frequently required to operate both indoors and outdoors regardless of weather conditions or temperatures. Regularly required to hear and speak to effectively communicate orally. Regularly required to operation vehicles of all sizes. Handle materials, reach overhead, kneel or stoop to conduct business. Regularly handle or maneuver with assistance items weighing 100 or fewer pounds. WORKING CONDITIONS Work Environment The working environment in which one will typically perform the essential functions of this position is indoors in a climate-controlled environment and outdoors as needed. It is well lighted, and the noise level is moderate. Driving Requirements Regular driving of university vehicles may be required for travel in the performance of the essential functions of this position. Proof of a valid Virginia driver's license, an acceptable DMV record, and liability insurance is required.
