Job Title: Lockbox Processing Clerk Reports To: The Lockbox Processing Clerk will report to the Client Services Supervisor, Client Services Manager, or equivalent leadership. Job Summary: The Lockbox Processing Clerk is responsible for accurately and efficiently processing of payments and documents received via mail. This role involves opening mail, operating scanning equipment, and performing other duties typical of a lockbox processing environment. The ideal candidate will have strong attention to detail, excellent organizational skills, and the ability to work effectively in a fast-paced setting. Additionally, the Lockbox Processing Clerk will be responsible for meeting production and quality standards set by the company. Job Post Description: o Adhere to company policies and procedures related to lockbox processing. o Maintain the confidentiality and security of all processed information. 5. Production and Quality Standards: o Meet or exceed production and quality standards set by the company. o Continuously monitor and improve personal performance to achieve these standards. o Participate in training and development programs to enhance skills and knowledge. Key Responsibilities: 1. Mail Processing: o Open, sort, and distribute incoming mail according to predefined procedures. o Ensure all mail is processed promptly and accurately. 2. Scanning and Imaging: o Operate scanning equipment to capture images of checks, payment coupons, and other documents. o Verify the quality and clarity of scanned images, making adjustments as necessary. 3. Quality Control: o Conduct regular quality checks to ensure all items are processed correctly. o Report any issues or discrepancies to the supervisor promptly. 4. Compliance and Security: What you will be doing: Opening, sorting, and scanning incoming mail according to predefined procedures. Operating scanning equipment to capture images of checks, payment coupons, and other documents. Performing quality checks to ensure all items are processed correctly. Maintaining confidentiality and security of all processed information. Meeting or exceeding production and quality standards set by the company. What we need from you: H.S. Diploma (or equivalent) required. Strong attention to detail and accuracy. To be able to work both independently and in a team setting successfully. The capability to use/learn technology such as: document scanning devices and basic computer operations. Ability to handle physical duties associated with the job, such as lifting and moving mail trays and packages up to 25 pounds. An ability to be bright, articulate, and neat in appearance. Qualifications and Education Requirements: •High school diploma or equivalent; additional education or training in a related field is a plus. •Previous experience in a lockbox or payment processing environment is preferred. •Proficiency in operating scanning equipment and related software. •Strong attention to detail and accuracy. •Good organizational and time-management skills. •Ability to work independently and as part of a team. •Excellent communication skills, both written and verbal. •Basic computer skills, including familiarity with Microsoft Office Suite. Physical Requirements: •Ability to lift and move mail trays and packages up to 25 pounds. •Prolonged periods of sitting or standing while performing tasks. •Manual dexterity required for operating scanning equipment and handling documents. Physical Demands: Approximately 50% of the time this position requires the below physical demands. Fine and/or gross motor skills, including the ability to grasp, lift and/or carry or otherwise move packages on a standard wheeled cart with a load capacity of 60 lbs. Ability to walk, bend, kneel, stand, and/or sit for an extended period of time. Manual dexterity is required for operating office machinery (phone, copy machines, binding equipment, etc.). Ability to lift or move 40 lbs. or greater frequently.
