Job Details Job Location Louisville Campus - Louisville, KY Position Type Full Time Education Level Bachelor's degree required Description The Center for Women and Families - HR Coordinator Together, disrupting the cycle of intimate partner and sexual violence is our mission. The HR Coordinator will help to move toward our vision of thriving survivors in safe communities. The Center for Women and Families provides free services to people of all identities who have experienced intimate partner violence and sexual assault. We help our clients and their dependent children become survivors through trauma-informed advocacy. Our goal is to mitigate the impact of trauma by reducing their risk factors and building their resiliency. We serve anyone in Jefferson, Bullitt, Spencer, Shelby, Oldham, Henry and Trimble counties in Kentucky and Floyd and Clark counties in Indiana. The HR Coordinator oversees activities and programs related to the recruitment and employment processes, benefits administration, Paycom management, required training, HR documentation and records management. The coordinator also engages in special projects related to human resources and participates in related committees as necessary. Free Lunch and Dinner are provided while working! Reviews applications, conducts phone screens on potential candidates, and coordinates with HR staff on the workflow of interviews. Assists in any aspect of the hiring process as needed. Manages the onboarding process by preparing the offer letter, running the background check, guiding the new hire through the pre-hire tasks, and meeting with them on their first day to provide orientation. Facilitates employee position movement by preparing the documentation and updating applicable records. Oversees the offboarding process by preparing the separation letter, providing information and necessary forms regarding portability of benefits and rolling over 401k funds, requesting completion of an exit interview form, and retrieving company equipment, such as keys, laptop, fobs. Collaborates with the Senior Director of Grants to communicate employment changes and the impact on funding. Benefits Administration Ensures employees understand their benefits options, including managing a communication program throughout the year. Enrolls new hires in their elected benefits when they become eligible. Oversees the Open Enrollment process, including promotion, coordination of meetings, and communication of results with providers. Sets up open enrollment in Paycom and implements election changes, providing forms when necessary. Assists employees in resolving issues with benefits providers. Reconciles monthly benefits providers' bills. Paycom Management Creates employees' payroll accounts in Paycom and manages any subsequent changes. Oversees Paycom's accuracy of pay rate, tax profile, Department of Labor (DOL) status, accruals, and deductions for employees. Ensures accuracy of employees' addresses (including tax implications), direct deposit designations, and contact information in Paycom. Communicates any additional payroll information (PTO payout, etc.) with Payroll Manager. Required Training Tracks direct-care staff's compliance with the annual TB testing, annual HIPAA and Bloodborne Pathogen training, CPR certification by tracking expiration dates and scheduling CPR classes as needed. Assists in communicating, scheduling, tracking, and facilitating required trainings specific to The Center such as boundaries, trauma resilient community, cultural humility, and prevention. HR Documentation / Records Management Maintains employee files electronically with strict attention to confidentiality and understanding of HIPAA and other regulatory requirements. Provides necessary HR information to Grants and Finance to meet funder reporting requirements. Maintains, compiles, and prepares reports for federal and state related filings (e.g., EEOC, OSHA). Files training sign-in sheets, benefits Summary of Plans, etc. and all documentation according to the retention requirements for each type. Special Projects Identifies initiatives to improve or evolve Human Resources practices, either independently or in discussion with the Vice President of Human Resources. Develops plans to advance the initiatives and carries out the steps to complete them. Committee Participation Serves as a member of HR-related work committees such as Critical Incidents Review, Training & Development, Employment, Engagement, and Information Technology. Qualifications Bachelor's degree and a minimum of 1 year of experience with HR processes is required.
