We are seeking a dynamic and detail-oriented Business Support Specialist to join our team. This role will provide comprehensive support for both our Proposal Center and Business Development (BD) teams. The ideal candidate will be highly organized, have strong analytical skills, and be capable of working independently while also thriving in a collaborative environment. This position is essential to ensuring the seamless execution of proposals and business development activities. The position is based at our Arlington, VA headquarters but can be performed remotely from anywhere in the continental U.S. Candidates must have a professional workspace and reliable access to necessary technology. We provide the required hardware, software, and IT support. Responsibilities Proposal Support: Assist in Proposal Preparation: Gather and organize information for proposals; draft basic proposal sections using existing content. Support Proposal Team: Schedule meetings, track progress, and ensure timely completion of all proposal components. Review Proposal Documents: Proofread and edit proposals for accuracy, consistency, and compliance with RFP requirements; ensure proposals are visually appealing and easy to read. Organize Documentation: Maintain document libraries, proposal files, templates, and records, ensuring easy access and version control. Conduct Basic Research: Perform research to support proposal content, including client information and industry trends. Monitor Deadlines: Track important deadlines and assist in ensuring proposal tasks are completed on time. Prepare Reports: Create and distribute status reports or meeting notes related to proposal progress. Learn Business Development and Proposal Processes: Understand proposal development processes and contribute to strategy sessions as needed. Communicate with Team Members: Facilitate communication between team members and stakeholders to gather information and ensure alignment. Business Development (BD) Support: Capture Management Support: Assist BD Lead in researching market trends and competitor activities; help prepare capture plans aligned with company objectives. Customer Relationship Management: Maintain customer records in SharePoint; schedule meetings and follow-ups with key stakeholders. Market and Competitive Analysis: Research potential customers and market segments; provide insights on competitor strategies to inform planning. Administrative Support for TTG Team: Facilitate team meetings, maintain tracking tools (e.g., ), and prepare meeting minutes; assist in preparing administrative forms and documentation for staff hiring and marketing requests. Proposal Activity Support: Locate and deliver relevant statistics and information from SharePoint or other sources to support proposal writers and stakeholders efficiently. Additional Duties: Participate in staff development activities to build knowledge and skills. Perform additional related duties as needed. Qualifications Education/Experience/Abilities: Bachelor's Degree: Required in Business, Marketing, or a related field. Experience: 1-2 years of experience in business development, sales support, or proposal support. Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), SharePoint, and document management systems. Organizational Skills: Excellent organizational and calendar management skills; ability to prioritize tasks and manage time effectively. Communication Skills: Strong writing, editing, and communication skills with attention to detail. Team Collaboration: Ability to work independently and collaboratively; successful experience working effectively with persons from diverse cultural, social, ethnic, and linguistic backgrounds. Research Skills: Ability to conduct basic research and provide insights on market trends and competitors. Remote Work Experience: Educational or professional experience working remotely is a plus. Prior Proposal and BD Support Experience: Highly desired. Benefits include health insurance, holidays, and vacation benefits for all full-time employees of 30 or more hours. The salary range for this position is $60,000 to $72,000 per year . While we provide competitive compensation, it's important to note that for new hires, salaries typically align with the lower end of the range, taking into account factors such as experience, qualifications, and internal equity considerations.
