We're seeking a Payroll Specialist to join our team! This role is responsible for supporting the US and Canadian payroll process by ensuring the accurate and timely processing of employee wages and related compensation across the organization. As our Payroll Specialist you will be involved in handling various payroll tasks, such as data entry, maintaining payroll records, processing employee changes, and ensuring compliance with federal, state, and local regulations. You will also collaborate with HR, finance, and other departments to resolve payroll-related inquiries and discrepancies. Attention to detail, confidentiality, and an understanding of payroll software and regulations are key for success in this position. Primary Responsibilities: Review and certify payroll transactions to ensure all recommended payments accurately reflect current compensation levels and withholdings in accordance with local labor laws and requirements. Communicate professionally and regularly with payroll support vendors to ensure timely, accurate processing, and knowledge of local requirements. Understand/research proper taxation of employer paid benefits and country specific payroll tax laws. Process and record payroll and related transactions in accordance with monthly deadlines. Perform audit of payroll registers prior to transmission and validate confirmed reports. Research and propose resolution of any data conflicts that impact payroll processing. Assist employees with questions and respond timely and with a customer friendly approach. Communicate irregularities or issues to the Director timely. Process off cycle pay runs and process manual payments when required. Collect and provide reports and other supporting documentation for internal and/or external audit preparation. Monitor and distribute payroll reports ensuring consistency. Regularly review payroll processes and procedures to ensure efficiency and reliability. Provide general support of payroll operations and perform other related duties as required and assigned. Education: Bachelor's Degree in relevant course; Payroll, Finance, or Accounting or equivalent years of experience. Experience: 3-5 years of US payroll experience. Canadian payroll experience a plus. Proven knowledge of full life cycle of payroll. Experience with multi-state payrolls. Technical Skills: Strong Microsoft Excel skills. Experience with payroll software and tax reporting. Soft Skills: Discretion and ability to deal appropriately with confidential data. Customer service oriented. Strong verbal and written communication skills. Demonstrated strong analytical skills. Strong time management and organization skills with high attention to detail. Ability to multi-task and work in a fast-paced environment under tight deadlines.
