As a Sales and Customer Service Assistant with us, you'll work closely with other members of the Sales Team and do the following: Essential Duties and Responsibilities: Sales Attend work regularly and reliably Be familiar with Hoffman Nursery, Inc. products, their specifications, and uses Be familiar with Hoffman Nursery customer types and their respective requirements Know how to use availability lists and product information sheets Prepare and process customer quotes, orders, and invoices Help coordinate customer pickups as necessary Stay current with Hoffman Nursery website and other marketing materials Customer Service Engage customers during phone calls to make sales and resolve sales and customer service issues Send plant availability lists, catalogs, credit applications and other documents to customers Communicate with customers about orders, acknowledgments, shipments, and credit applications Coordinate with appropriate departments to schedule customer shipments, determine shipping status, and be aware of plant issues Place courtesy calls to confirm upcoming shipments and receipt of plants Other Responsibilities Answer phones, take messages or direct calls appropriately using proper phone etiquette Perform daily operations of Sales Team, including order processing, sales calls, customer service issues, and documentation of sales activities Be prepared for and attend daily Sales Team meetings to report on daily priorities and update management Attend weekly Sales & Marketing meetings to report on work progress and to stay informed Know and follow Sales Team SOPs and be familiar with the electronic Hoffman Nursery, Inc. Sales and Customer Service Playbook Learn item codes and be proficient in using Dynamics CRM, Microsoft, and other software Maintain accurate customer database Assist with office organization, electronically file paperwork associated with orders, business cards, etc. Promote a quality image of Hoffman Nursery by using proper language in written and oral communications Use diplomacy, tact, and good judgment to strive for individual as well as team success Maintain a professional appearance and demeanor Be in alignment with Hoffman Nursery's core values Perform other duties as requested, directed, or assigned Qualifications: Associate's or bachelor's degree with 1-2 years of experience in customer service or business setting, or equivalent experience; Strong organizational skills; Strong attention to detail; Efficient under varying workloads; Demonstrated initiative and self-direction; Demonstrated team and collaboration skills; Effective interpersonal skills; Effective active listening skills; Effective and professional writing and oral communication skills; Windows Operating System proficiency including the following applications: Word, Excel, Outlook, Teams, and others; Ability to learn new software, technology and business processes; Ability to work effectively in a dynamic environment; Knowledge of or high level of interest in horticulture or related field. Physical Demands Regularly sit or stand while using phones or computers Regularly use hands and fingers to handle, control or feel objects, tools, or controls Regularly repeat the same movements when entering data Regularly see details of objects that are less than a few feet away Regularly speak clearly so listeners can understand Regularly understand the speech of another person Frequently focus on one source of sound and ignore others Frequently hear sounds and recognize the difference between them Frequently see differences between colors, shades and brightness This is a full-time, hourly, on-site position averaging 40 hours per week.
