Sr Financials Analyst II (E3303B) - : KNW-C40 Description Job Summary The overall purpose of this position is to support the Director in Business Finance Solutions, who oversees the Financial and Compliance Functions of various Operating Units (OU's) including: Corporate Activities (CA), Standards Association & Working Groups (SA/SWG), Educational Activities (EAB), The IEEE USA (USA), Conferences, Events and Experiences (CEE) and various Support Departments including Human Resources, Executive, Chief of Staff, and Global Operations. The incumbent in this position is primarily responsible for Budgets, Forecasts, Analysis, Reporting, Procurement, System Testing, and Projects and Process Improvements in the Databases for ease in these reporting and analyses functions as noted. The role will report to the Director and be responsible for the major initiatives as an SME across 2 of the OU's that are noted above and those being EAB & USA. Additionally, as Subject Matter Expert (SME), the incumbent will support the business needs on EAB and IEEE USA program & product performance including EAB related ABET, IEEE-HKN and TryEngineering Summer Institutes and along with USA related programs and products. The incumbent will ensure the integrity of all aspects of the finances including the budget process, forecasting, management of actuals, and variance analysis. In addition, all compliance related matters connected to Travel & Expense Reporting through Concur, Procedures in respect to Corporate & Purchase Card usage in the OU's as well as Compliance respective to Requisitions, Purchase Orders and Contracts managed in the Contract Management System in partnership with Legal, IT and Strategic Sourcing. In the role, we must provide accurate financial advice and continually educate OU Staff on IEEE financial budgeting and forecasting practices, policy and guidelines. This position must conduct periodic reviews of existing processes, recommend, socialize, and implement changes as necessary. Will solve problems, demonstrate strong leadership skills, lead required meetings and facilitate effective staff interactions. Incumbent may attend IEEE Board Meetings and all IEEE Finance Committee (FinCom) meetings to support volunteers at the request of leadership or management. Key Responsibilities Budgeting, Forecasting and Reporting 50%: for the EAB & USA business units including annual budgets, monthly forecasting and financial analysis including Member Dues Revenue associated to EAB and HKN and USA as well as Assessment revenue from both Member Dues and ABET revenue. Will do analysis & prepare presentations, reports as required - BU Summaries and Periodization, Headcount reports, Cost Center and Product Code Reporting and analysis within the EPM module for updates. Capital & Depreciation related planning and analysis and work with Business Administration and other OU's to complete financial tasks on a timely basis and manage bookkeeping tasks related to the EAB Summer Institute Program with staff and vendors. Manage Cost Centers including understanding key accounts and cost center ownership, along with, understanding the flow of accounting information that affect each OU's financial statements along with monitoring cross OU Charges such as ON 24 to ensure entries are processed timely & accurately in the books and records of the EAB and USA OU's Project Management 15%: Partner with Information Technology in order to support the planning, implementation and rollout of various projects championed by EAB and USA staff and volunteer committees. Participate in the gathering of requirements and assist in the development where applicable as it relates to EAB and USA. Connected to this will be the responsibility to prepare and maintain and IPR's (IEEE Project Requests) needed for the staff to prepare Requisitions and Purchase Orders downstream. Relationship Management & Collaboration with staff 15%: to ensure timely communication and accurate reporting for Board meetings and Finance Committee meetings. Prepare Finance presentations for these meeting, including annual budgets, monthly forecasting, financial analysis, Budget Periodization, Headcount reports, Cost center and Product Code matrix and EPM updates. NextGen Banking Central Account Processes and Business Continuity 10%: responsible to support EAB and USA staff who would be initiating journal entries and or bank transfers to other OU's that would require the assistance of general accounting and or the Treasury Operations groups. And support OU needs connected to Business Continuity - Assist with the BIA data gathering process and template preparation for EAB and USA as may be required in respect to systems used by the OU's in order to meet and Risk / Reserve Criteria recommended by the MC's and or the Risk Management Team. Meet with key personnel to coordinate results. Create process flows and internal control documents as may be required by The Controllers or Internal Audit Offices. Miscellaneous and Ad Hoc 10%: Conduct periodic training classes in respect to the process and procedure manual created; Customer Service Support to the business by Creating the IPRs and assist in the review of Purchase Requisitions and Journal Entries as prepared by OU staff and other financial documentation as needed; Develop the capital budget in conjunction with the IEEE Information Technology staff. Serve as liaison to general accounting for Capital, Depreciation, Accounts Payable and Receivable as needed, while supporting the financial Internal Audit compliance process for IEEE. Also be responsible for the creation of a Finance processes and procedures manual and keep updated on an as needed basis. Special projects upon request. Qualifications Education Bachelor's degree or equivalent experience Bachelor's degree or equivalent experience in Finance, Accounting, Economics or related field in Business Administration Required Work Experience 4-7 years 4-7 years financial experience is required CPA License is recommended but not required Successful record of increasing efficiency, accuracy, and financial visibility by creating, streamlining and improving processes, systems, and reports is preferred Provide senior executives and staff members with critical data and reports & presentations to enhance strategic planning, forecasting, and analytical functions is preferred Skills and Requirements He/she must possess excellent financial analysis skills. Must have excellent time and project management skills. His/her experience must demonstrate effective oral and written communications. Results driven.
