Bargaining Unit: UUP Job Summary: The Department of Ambulatory Care Services at SUNY Downstate Health Sciences is seeking a full-time Senior Staff Assistant / Business Manager, Empire/Suite O. A Senior Staff Assistant/ Business Manager will help support the department of Ambulatory care services with the satellite off-site outpatient clinic. Illustrative Duties Manage and supervise a team of registrars, ensuring adequate staffing to maintain optimal patient flow and care. Monitor and update reports within the 7-day billing cycle, ensuring all corrections are completed in internal tools (Eagle/All Script). Provide ongoing training to staff on registration protocols and billing updates, ensuring adherence to policies and procedures. Review accounts for appropriate referrals and authorizations, maximizing reimbursement to the hospital. Oversee daily reconciliation of encounter forms and visit detail listing reports. Communicate essential information to staff and keep them informed about the latest policies and procedures. Ensure data quality by aligning reports and promptly addressing errors to support Accounts Receivable functions. Review charts/accounts to ensure timely closure of visits with appropriate diagnosis and procedure codes. Train and monitor staff on regulatory insurance healthcare updates and compliance with state and federal regulations (e.g., HIPAA, patient rights). Ensure patients receive all relevant information regarding their rights and compliance with regulations. Collaborate with the Director on outstanding issues affecting departmental operations. Collect data for statistical analysis to coordinate workflow effectively. Coordinate with nursing, physicians, and administrative staff regarding clinical activities. Complete assignments and projects within deadlines, providing constructive feedback to administration. Establish and maintain professional relationships with the OPD Administrator, physicians, nursing staff, and other hospital employees. Assist patients/clients with inquiries and provide exceptional customer service. Required Qualifications: Knowledge of third party insurance processes. Experience with hospital medical billing. Preferred Qualifications: Bachelor's Degree with 3 to 5 years of prior supervisory experience within a health care environment.
