This position is primarily an in person position, with flexibility for remote work as approved by the supervisor. share ideas, help implement best practices and identify opportunities for continued training and support Provide thorough data monitoring, tracking and analysis of student data and delegate strategies/ action needed to on-site staff based on data trends as required by BSD 21st CCLC Grant Work closely and/or advise site staff to work closely with 21CCLC families on understanding the importance of regular school day and program attendance, and/or work with families on creative solutions to attendance barriers Communicate with participant caregivers based on identified needs from data analysis as required by the BSD 21CCLC Grant Lead trainings for Community Schools and/or other department Program Coordinators and facilitate portions of team meetings as appropriate Develop and implement impact, evaluation plan, sustainability plan and continuous improvement cycle Completion of necessary district Scope of Work (SOW) narrative and/or approval process Collaborate with district administrative partners, including regular meetings with District Administration Oversee training and development opportunities for Community Schools Team Attend and represent MFS at appropriate meetings as approved by the Director of Community Schools Attend Professional Development training and conferences as assigned by the Director of Community Schools Oversee completion, maintenance, and filing of all reports and other documents required for the programs Provide support and assistance to Program Coordinators in the development and monitoring of individual program design and budgets Develop and maintain strong and positive relationships with funders, and community partners Create and/or approve Memorandums Of Understanding (MOUs) with partner organizations Attend supervision meetings with Director of Community Schools Organize and maintain supervision records and documentation as required Work directly with Chief Human Resources Officer regarding hiring, employee performance and employee relations issues Attend and participate in agency-wide management team meetings Provides content for program descriptions for funding applications Communicates expectations to staff regarding public relations work, including site visits, presentations and media pieces about community schools Assures that Community School program staff adheres to MFS Standards and Ethics of Practice Actively leads teams to develop program-level steps to meet strategic goals Encourages growth of leadership and innovation across all levels of program operation Hires and supervises staff within a framework of social service competency, social justice and inclusive services Other duties and responsibilities may be assigned by the Director of Community Schools Department Operations Manage contract compliance for assigned service areas Participate in providing program orientation to newly hired staff Available to assist with fundraising and public presentations as requested Actively collaborate with department Program Managers and Management teams in order to build programs in alignment with the agency's strategic direction Organize, submit and maintain personnel records and documentation as required Effectively and consistently market the organization, communicating about MFS and its programs in a way that is both compelling and on message. Follow marketing guidelines in place when communicating with staff, volunteers, clients, partners, and potential supporters Comply with Metropolitan Family Service policies and procedures as outlined in the Employee Handbook Program Administration Minimum of four years of experience in program development and administration Knowledgeable about youth development (theory and practice) Experience developing and managing budgets Advanced knowledge and competency to operate a personal computer. Advanced competency in using Word, Excel, Google Suite and various database programs Possesses strong verbal and written communication skills Ability to manage multiple projects simultaneously Possesses excellent time management and organizational skills Ability to effectively manage and maintain confidential and sensitive information Ability to recognize and manage critical incidents within the program and/mandatory reporting regulations and responsibilities Commitment to continuous quality improvements and innovation Supervision Effective communication skills with a broad range of individuals and groups Effective understanding of employment laws, rules and regulations Work effectively and in a timely manner to support HR and Finance administrative functions for staff supervision, recruitment, hiring, training and staff support Ability to provide the necessary information in a timely manner to staff and volunteers Ability to set quality standards for programming and ensure adherence to standards Abilities and experience in development and supervision of academic enrichment and/or recreational programs Demonstrates continued accountability for effective, timely and consistent supervision of staff and volunteers Provide direction and support to staff to ensure administrative functions such as timesheets, credit card logs, and other administrative responsibilities are completed and submitted in a timely and consistent manner Qualifications Knowledge, Skills, and Abilities Required: Minimum of four years of experience in program development Minimum of four years of experience in program supervision Experience in outcome-based program evaluation Minimum of four years of experience in supervision, training, and development of staff Experience working in an inter-organizational system; experience in school/social service integration preferable. Experience in program-related grant development and grant writing Experience working with partners from a variety of fields, (such as other social service agencies, healthcare systems, government, education, and advocacy groups) Thorough understanding of employment laws, rules, and regulations Must hold a valid state of residence Driver's License and have a clean DMV driving record Education and Experience Requirements: Minimum of a BA or BS in public service, recreation or human services related field; MSW or MA preferred or equivalent, related experience Minimum of three years of experience as a Community Schools Program Coordinator for Metropolitan Family Service Experience working in school-based academic enrichment, recreation or social services programming is preferred Fluency and ability to communicate effectively in languages in addition to English is preferred Other Requirements: Personal transportation allowing for travel within the Portland Metropolitan area in a timely manner. If driving a personal vehicle must maintain a valid driver license for the state of residency, personal auto liability insurance coverage and a driving record permitting coverage under the agency auto liability policy. MFS requires all employees and volunteers to complete a criminal background check. We review the results of all background checks individually and consider all of the circumstances of any issues that arise in a background check during the hiring process. Work Environment: Work is primarily preformed remotely and on occasion at an office location and/or at other locations as deemed necessary. May require occasional early morning, weekend or evening work. Position requires ability to sit for extended periods as well as stand occasionally. Position requires use of computer, telephone, copier, use of google suite products and may require accessing locations by use of stairs. This position may have opportunities for remote work, and this is coordinated with supervisor.
