Description: The Supervisor of Pupil Accounting, reporting directly to the Executive Director of Business Finance is responsible for the leading all Pupil Accounting functions for the district including but not limited to audits, pupil count submissions, accounting of instructional days and clock hours, calendar waiver submissions, EEM management and school district, county, and state reporting. Qualifications: Bachelor's Degree preferred, equivalent job-related experience required. Currently hold or willing to obtain MSBO Pupil Accounting Specialist (PAS) Certification. Experience necessary within the area of Pupil Accounting in the State of Michigan. Experience with submissions to the state through the Center for Educational Performance and Information System (CEPI). Demonstrated ability to work independently and carry out assignments with a high degree of accuracy. Demonstrated ability to communicate well with school personnel and parents while complying with the confidentiality requirements in local, state, and federal policies. Demonstrated ability to interpret state and federal regulations and district procedures related to pupil accounting functions. Demonstrated knowledge in office operations, procedures, and record-keeping methods. Demonstrated ability to perform computational tasks with accuracy and in a timely manner. Demonstrated advanced skills with technology tools, especially excel. Demonstrated ability to use data systems to analyze data as well as cleaning data in data systems. Demonstrated excellent customer service skills to develop and maintain positive relationships with district staff, outside agencies, and the community. Demonstrated strong organizational skills and attention to detail. Demonstrated ability to organize multiple work projects, set priorities, and meet deadlines. Responsibilities: Supervise all Pupil Accounting functions for the district including but not limited to audits, pupil count submissions, instructional days and clock hours, Common Calendar waivers, and the process for obtaining Labor Day start waivers. Managing the Michigan Student Data System (MSDS) in CEPI and all student related reporting requirements including: The Fall, Spring & End of Year General Collections. Fall, Spring, and End of Program Early Childhood Collections. Student Record Maintenance (SRM) submittals. Teacher Student Data Link (TSDL) reporting. Dropout Recovery 23a reporting. Fall to Spring count day 25e request submittals. Assist in the identification of At Risk (31a) students. Early Roster reporting. Assist in compiling data for the Civil Rights Data Collection (CRDC). Ensuring the DS-4061 Reports from Fall and Spring General Collections are accurate. Managing the Educational Entity Master (EEM) for district and building updates and submittals. Managing the Unique Identifier Code (UIC) requests, resolutions and linking requests. Managing the Graduation and Dropout Database (GAD) while coordinating with secondary schools the exit status of students, including summer school graduates. Serve as a resource for various administrative offices. Oversee the coordination, with other departments within the district, for accurate reporting of certain reportable state fields within the student records. Assist with the development of the annual district calendar for compliance of instructional days and hours. Maintain and submit the DS-4168 Days and Clock hours report, and EEM submission. Leads the development and maintenance of the online student registration system, and trains and directs district and building level personnel responsible for student registration and other pupil accounting procedures and reporting requirements to achieve an accurate audit. Communications with parents regarding enrollment requirements and addressing parental concerns and options for enrollment. Attend appropriate MPAAA and MSBO conferences and MISD workshops to utilize in keeping up with current pupil accounting requirements and best practices and share information in a timely manner with appropriate staff within the district. Provide PowerSchool assistance where necessary as it pertains to pupil accounting and enrollment. Attend MISD meetings as a PowerSchool Liaison. Oversee the development of the student enrollment online registration forms as well as updates to the forms. Assist with enrollment projections and demographic studies for the district. Provide current and historical reports collected in MI School Data, MSDS, and other sources to district staff, and other sources as needed. Oversee all audits related to student reporting including the Fall and Spring Count audits, GAD Exit Status audit, Section 23a audit, and audit of 25e requests.
