Vancouver Farmers Market - Market Coordinator About Us The Vancouver Farmers Market (VFM) is a large vibrant market of over 270 small businesses located in Vancouver, Washington. Our Downtown flagship market is year-round on Saturdays and Sundays April through October and on Saturdays November through March. We have additional markets in the summer at other locations. Operating since 1990, the VFM is a hallmark of Vancouver and is well known and respected in the community, welcoming over 500,000 shoppers a year. The Vancouver Farmers Market has a wide range of programming focused on food access, small business development, and inspiring the next generation of entrepreneurs and healthy eaters. About the Position The Vancouver Farmers Market is looking for an enthusiastic and organized Market Coordinator to join our team. This role is essential to the success of VFM and involves both on-site work at the Downtown Vancouver Farmers Market on Saturdays and Sundays, as well as administrative support in the VFM office on non-market days. Market Coordinator responsibilities include supporting on-site market operations, such setup and teardown of market equipment, oversight of the market's information booth, and providing excellent customer service to vendors and shoppers. Administrative tasks include weekly preparation and staging of supplies and equipment, inventory management, assisting with vendor communications and application processing, entering market data, and providing general operational support. The ideal candidate will be self-directed, detail-oriented, and an effective problem solver. They should also be comfortable working outdoors in all weather conditions. Status: Full-time, Hourly, Non-Exempt, 32 hours per week Compensation: $20 per hour Benefits: Employer paid Medical/Dental/Vision coverage Annual PTO: sick time accrued per WA State paid sick leave policy, 10 vacation days, 4 holidays, 5 floating holidays, and annual year-end office closure Annual $150 clothing reimbursement Monthly parking and cell phone reimbursements Schedule: Varies with season, typically: Thursday - Sunday (April - October), Wednesday - Saturday (November-March) Reports To: Director of Operations Duties & Responsibilities: Market Preparation/Administrative (40% or ~12-20 hours/week depending on the season): Prepare, organize, and stage all supplies, equipment, and signage for weekly markets. Oversee equipment and merchandise inventory, coordinate repairs, notify market managers of necessary purchases, and ensure storage areas remain clean and well-organized. Assist with vendor communications during the week, including responding to emails and phone calls, monitoring weekly schedule changes and cancellations, and updating schedules as needed. Clearly communicate vendor needs to Market Managers. Provide excellent and timely customer service to both shoppers and small businesses. Support the vendor application process by verifying application fees and ensuring that all approved applicants have the appropriate licenses and insurance, as well as assisting with the coordination and set-up and tear-down of product juries. Enter and maintain accurate market data, including weather, shopper counts, vendor attendance, and parking lot donations, to support market analysis and reporting. Collaborate with the market management team to improve and implement operations plans and procedures. Perform other administrative tasks as needed to support seamless market operations. Market Operations (60% or ~10-20 hours/week depending on the season): Support on-site market operations by setting up and tearing down equipment, ensuring vendors and community partners are in their designated locations, verifying that appropriate street closures and signage are in place, cleanliness is maintained throughout the market, and that the market opens and closes on time. Demonstrate working knowledge of and enforce VFM rules and regulations to maintain smooth and safe operations, creating a positive experience for vendors and shoppers. Oversee information booth operations during the market day including operating the POS system for merch sales, SNAP/EBT, and Credit/Debit Tokens, directing volunteers, and assisting vendors and shoppers. Provide excellent and friendly customer service to market shoppers and vendors, answering questions and educating customers about the market and market programs. Use problem-solving, de-escalation, and customer service skills to resolve disputes and maintain a welcoming market atmosphere. Report any concerns to market management. Track and record on-site market data by documenting shopper crowd counts, market tokens, parking donations, and vendor payments. Assist market managers in reconciling each at the end of the market day. Participate in onboarding and training seasonal market staff as needed. Job Requirements and Skills: Valid driver's license First Aid/CPR certifications or ability to obtain them Proficiency with standard office software and ability to learn industry-specific software Strong verbal and written communication skills Ability to work both independently and collaboratively within a team Excellent interpersonal skills and with ability to build and maintain positive relationships with diverse populations Working Conditions and Physical Demands: Work takes place outdoors, year-round and in a variety of weather conditions. Must be able to work weekends and be flexible to adjust schedule as needed for work related events outside of normal hours. Ability to perform physical work, including long periods of standing, walking, and repeatedly lifting to 40 lbs. Must work in sensory-rich environments with large crowds, food messes/spills, varying temperatures, and loud noises.
