This office-based position is in Arlington VA . This position is responsible for duties associated with the Heart's Delight Wine Tasting & Auction Live and Silent Auctions. Related duties will be part of the development team in their fundraising efforts. Duties include handling data in several event management systems related to leadership, donations and event logistics, handling event planning with vendors and volunteers, processing payments in the financial system and collaborating with colleagues and departments on a variety of other meaningful tasks that advance our mission. The Development Manager will be responsible and support the Associate VP, Development that leads all aspects of the Heart's Delight Wine Tasting & Auction campaign and handles the auction logistics of this high-end 4-day Annual event. This event will host winemakers, chefs, and approximately 1,000 Distinguished guests over the 4 days. This opportunity will be 70% focus on administrative/volunteer management and 30% fundraising/auction responsibilities. There will be external meetings with local travel, therefore, you will be required to have always have access to reliable transportation at all times on an immediate basis. Responsibilities: As the Development Manager, you will touch all aspects of the auctions for this four-day event. Crucial duties will include the follow details, along with ongoing interaction with donors, team members and leadership. Support Services The Development Manager is a key element in supporting a cohesive, efficient, and productive workplace. Meeting regularly with the Sr. Director and volunteers to maintain open lines of communication to ensure objectives are being achieved. Maintaining a high level of service by responding to customer inquiries both internally and externally in a knowledgeable and timely manner. Assisting in the coordination and execution of monthly auction committee meetings. Preparing presentations, correspondence and documentation in a timely manner including meeting minutes. Working independently and within a team on special nonrecurring and ongoing projects. Event Logistics This position will work with American Heart Association staff and the Auction Committee on the 3 silent and 3 live auctions of Hearts Delight Pre-auction work of data entry, communications with donors of pledges and thank you letters. Attending monthly auction committee meetings. Receive, track inventory, warehouse and pack lots, catalogue auction items. Create descriptions to help write 300-page auction catalog. Brainstorm auction donation ideas with team and outreach for donation items. Helping recruit, schedule, and train day-of volunteers for May 2025. Attending in-person events to help with set up, execution and tear down. Process, Monitor and Report on Data Data is central to the success of the organization. This position has the important responsibility of entering, maintaining, and reporting on critical data including donor information, donor payments, event, and prospect details. Using in the data management systems (Greater Giving) Supervising data for completeness and accuracy. Correcting irregularities as needed. Generating reports as needed Qualifications: Want to help get your resume to the top? Take a look at the experience we require: University/College degree or equivalent experience preferred. At least one years experience in administrative work, project coordination and/or event management systems with strong attention to detail. Experience in event planning, organizing, consultation and event management preferred. Proficient in using web conferencing software (Zoom, Microsoft Teams, Event.Gives etc.) Demonstrated ability to work on multiple tasks concurrently. Must have intermediate skills in PowerPoint, Word, and Excel. Advanced knowledge and skill with these programs is preferred. These skills are subject to testing. Ability to objectively evaluate, make effective decisions and develop alternative solutions. Ability to work in a team environment and interact with all levels of American Heart Association staff, volunteers, and the public. This includes ability and willingness to build and cultivate relationships within and outside the American Heart Association. Ability to be respectful, self-motivated, resourceful, detailed, and thoughtful. Willingness to work in an atmosphere requiring flexibility and change. Validated ability to respond quickly to changing ideas, responsibilities, expectations, strategies, and other processes at work. Knowledge of and skill in report preparation, proofreading and attention to detail. Requires access to reliable transportation at all times on an immediate basis. Ability to transport materials and other supplies to and from meetings and events. Ability to and/or move large objects (such as boxes) with the expectation that heavier items would be broken down into smaller components or requesting additional assistance may be required before lifting and/or moving. Must pass background check and must be at least 18 years old. Preferred Qualifications, not mandatory to qualify : Nonprofit experience or generous knowledge of the wine industry Project management experience Digital event production experience Design skills, preferably in Canva or similar. Knowledge of email marketing basics Experience using Tableau reports. Proficient in Microsoft SharePoint and Teams Experience with vendor negotiation and contract reviews. And we do. #LI-CS1 Compensation & Benefits: Salary minimum to the midpoint of the range is $57,700 to $77,000. Pay is commensurate with experience; geographic differentials to the pay range may apply. The American Heart Association reserves the right to pay more or less than the posted range.
