Job Description We are seeking a full-time Executive Assistant to join our New York office. As a pivotal member of our team, you'll be responsible for overseeing daily office operations at Greenfield Partners. This includes providing support to the Executive team, running all the office activities, managing internal and external interfaces, and coordinating the execution of company events, conferences, and other various initiatives. Responsibilities Includes Act as the primary point of contact for executives, managing their calendars, meetings, and appointments. Coordinate travel arrangements, itineraries, and accommodations for executives. Handle correspondence and communications on behalf of the executives. Anticipate needs and proactively manage tasks to ensure efficient workflow. Maintain confidentiality of sensitive information and handle it with discretion. Oversee and maintain office equipment for uninterrupted function, identify needs and acquire supplies, manage vendor relationships, and coordinate food deliveries. Oversee office supplies, inventory, and procurement, ensuring adequate stock levels. Coordinate office meetings, events, and conferences by scheduling appropriate venues, managing logistics, and preparing necessary materials. Oversee visitors to the office and ensure friendly, personal experiences. Streamline office processes to enhance operational efficiency. Provide support to the Marketing department. Qualifications (Experience, skills) Proven experience as an Executive Assistant or similar role, preferably supporting C-level executives. Strong organizational and time-management skills. Excellent written and verbal communication skills. Ability to prioritize tasks and work well under pressure. Attention to details, accountability, and excellent time management skills. Self-starter - ability to operate effectively in an environment which is more project oriented than task oriented. Can do approach. Proficiency in office software and multitasking abilities.
