Job Title: Scheduling Coordinator Job Specialty: Surgery Coordination Job Duration: 13 Months Shift: Monday - Friday, 8:30 AM - 5:00 PM Guaranteed Hours: 40 hours per week Experience: 2 years of related experience required; 2 years of progressive experience in a medical office preferred License: Not applicable Certifications: Not applicable Must-Have: - Effective interpersonal and communication skills- Ability to learn quickly and adapt to a changing environment- Proficiency in English (Speak, Read, Write) Job Description: - Coordinate all aspects of tests, procedures, and surgeries efficiently under the supervision of the Practice Supervisor or Manager and physician(s).- Schedule procedures promptly, politely, and helpfully, following the guidelines of each facility.- Ensure proper equipment is ordered for surgeries and verify patient demographics.- Log patient and insurance information, contact insurance companies for verification of coverage and benefits, and obtain pre-certification from payers.- Coordinate procedure appointments with the physician's calendar, adjusting schedules as necessary.- Communicate appointments and surgical preparation information to Arrange co-surgeons or assistants as needed and coordinate with other departments, such as labs and nuclear medicine.- Ensure consistency in pre-op procedures, including completion of surgical documentation, consent forms, history and physical, and physician orders.- Distribute documentation to appropriate departments and schedule pre-surgery appointments, obtaining medical clearances as required.- Coordinate pre-admission testing appointments and follow up on test results with physicians.- Maintain block time guidelines at hospitals and coordinate required postoperative care under provider direction.- Obtain surgical billing information from physicians and work with the coding department to post and reconcile all surgical charges.- Track all procedures, completed and pending cases, and all surgical testing and pathology results.- Provide excellent customer service, greet patients and visitors courteously, and assist them while maintaining their dignity.- Adapt work schedules to meet practice needs and work additional hours as requested to maintain coverage.- Record time efficiently to manage workload effectively.- Perform assignments with efficiency and accuracy.- Provide cross-coverage within the Physician Services Division as needed.- Participate in surgical service meetings and adhere to organizational competencies and standards of behavior.*Preferred Skills and Experience:*- Proficient in medical terminology and HIPAA guidelines- Knowledge of surgical coding (CPT and ICD-10) preferred Education: - Required: High School Diploma/GED or HiSET (High School Equivalency Test)- Preferred: Not applicable
