We are seeking an Office Administration Manager to lead and support our administrative operations. Job Description: An Office Administrative Manager provides administrative leadership to the team. The Office Administrative Manager prepares and organizes documentation, leads and attends meetings, manages and provides record-keeping support, and performs office management tasks. The Office Administrative Manager plays a role in many parts of 2IM's operations, working with other leaders and administrative team members. Duties and responsibilities: Some important duties and responsibilities of an Office Administrative Manager include: Guides organizational activities and identifies opportunities to improve policies and objectives. Manages data, and financial inputs, and prepares client invoices in enterprise resource planning (ERP); reviews sub-consultant invoices and coordinates AR and WIP tracking. Prepares and reviews operational reports; supports budget preparation and administrative budget management. Coordinates internal and external meetings, prepares agendas and minutes, and ensures follow-up. Assists HR with payroll, employee onboarding, policy updates, and fringe benefits coordination. Supports administrative and marketing teams with AP, marketing materials, and other tasks. Demonstrates business acumen, contributing to profitability and cost control. Handles job setup, including ERP entries, folder creation, and Work Order tracking. Processes invoices, manages Change Rate forms and performs other administrative duties as needed. Skills and qualifications: For an Office Administrative Manager to be successful in their role they should possess the following skills and qualifications: Ability to use a computer, ERP software, the internet, Microsoft Office (Outlook, Word, Excel, PowerPoint), and Adobe Acrobat. Education and training requirements: A bachelor's degree is preferred, or an equivalent combination of education and experience is preferred. Experience requirements: Minimum five (5) years related administration experience in a professional services office environment preferred, including at least two (2) years of experience guiding or managing other administrative team members.
