Established in 1984, American Shoulder and Elbow Surgeons (ASES) is a professional medical association. Our purpose is to engage in, advance, support, promote and administer scientific and educational activities, causes and projects. Our mission: "Serving patients, members and society by advancing shoulder and elbow care."As the Membership & Operations Coordinator, you will be responsible for coordinating and implementing a variety of projects and day-to-day membership, administrative and project management activities within established timelines to facilitate and maintain healthy and viable organization in accordance with key association management principles and ethics.RESPONSIBILITIES:1. Collect and organize membership application materials and maintain membership records. o Coordinate dues billing and follow-up, including generation of necessary reports.o Collaborate in the development and implementation of new strategies to enhance recruitment and retention rates.o Deliver comprehensive customer service support to both members and non-members, ensuring their needs and inquiries are addressed promptly and effectively. o Create invoices as needed and assist members with reimbursement reports.o Effectively communicate with the society's members and staff team. Develop timelines, procedures, and schedules for projects as assigned. 2. Provide administrative support to the ASES and its foundation's staff team to implement the groups' deliverables on time and within budget.o Record and track the society and foundation's payments in the ASES database.o Lead, receive and rout correspondence, screen telephone calls, review and respond to ASES general email, and order supplies.o Assist the staff team and leadership with committee and board call scheduling, agenda development, distribution of agenda materials, board meeting minutes and trackingcompletion of action items. o Maintain and update procedures, manuals, lists, board and committee rosters and suggest improvements. Prepare and send correspondenceo Develop and produce promotional items as assigned. o Assist with financial recordkeeping and collection of appropriate forms.o Assist with production, review, and reconciliation of reports, surveys and evaluations. Prepare special reports as directed. 3. Coordinate Traveling Fellowship Program including travel arrangements and correspondence. 4. Support the Society's Live and Virtual Educational Offerings in collaboration with the Education and Meetings Coordinator. o Coordinate registration for DEI designated speakers and attendees at the society's courses, and events taking place during the Annual Meeting. Assist with on-site registration for various meetings associated with the Annual Meeting.o Provide instructions for registration and work with on-site temporary staff at the Annual Meeting.o Coordinate packing, unpacking, and shipping of any supplies, signage from the ASES office. 5. Support and coordinate committee projects as assigned and perform all other job-related duties as required or assigned. Complies with all safety policies and practices of the organization and all safety standards associated with this position, including the use of personal protective equipment. QUALIFICATIONS: Undergraduate degree or equivalent work experience.· 2-3 years' experience in management and maintenance of membership records. · Administrative and project management experience. · Proficient in Microsoft Office, Adobe reader, Experience with databases (MemberClicks preferred), Bulk Email Software (ex: Constant Contact).· Excellent member service mentality and delivery. · Effective verbal and written communications. · Strong organization and interpersonal skills. · Ability to think proactively and creatively. · Must excel in a fast-paced, team-oriented environment. · Cooperative, supportive, and "can do" attitude is crucial to success. · Integrity and credibility with leaders, members, vendors, and staff.BENEFITS:We value our employees' time and efforts.
