Responsibilities include, but will not be limited to, assisting key managers with office administration including confidential documentation, coordinating and organizing internal and client schedules and meetings, use of technical terminology in correspondence, knowledge of organizational policies and procedures including the ability to follow standard protocols when conducting work. This person will also be heavily engaged in day-to-day project activities such as supporting project administrative needs, formatting of submittals per client/company standards, and various document control functions. Jo b Dut i e s an d R e s pon s i b i l i t i e s: • Screens telephone calls, greets visitors, and relays messages to appropriate parties • Maintain current inventory of security access badges with quarterly refresh • Assist with onboarding of newly hired employees by ensuring onboarding plan is completed timely • Prepare reoccurring office staff meeting agendas and presentation framework • Monitor office supplies and concessions inventory, order and restock replenishments as needed • Prepare monthly copier meter reading reports to lease companies and EDG Accounting • Produces business correspondence, reports, forms and related materials • Assembles proposal related inputs and develops correspondence, proposal documents • Compiles and computes data for routine business reports • Maintain spreadsheets, tracking matrices such as approved budgets, Professional Services Contracts (PSCs), work order expiration, time and material reports and related record keeping • Provides general clerical assistance, including filing, copying, pick up and distribution of mail, delivery of messages, etc. • Maintains files and records in EDG's document management system, otherwise electronically and in hardcopy form, as required, which may contain confidential information • Serve as primary point of contact with building management or local suppliers of services to the office • Additional duties as assigned Q ua li f i c a t i on s ( Kno wl e d g e , S ki l l s a n d Abi l i t i e s ) : Basic Or Minimum Requirements • Minimum two-year associates degree required • Ten (10) years' experience in a role as executive assistant or senior administrative assistant • Proficiency in Microsoft Suite (Word, Excel, PowerPoint, Teams, Outlook, etc.) with the ability to write formulas, create and utilize pivot tables, and develop charts/graphs in MS Excel to automate financial and project reporting • Proficiency in PDF editing software such as Adobe Acrobat and Bluebeam Revu Preferred Qualifications • Willingness and ability to increase to a full-time schedule in the future • Bachelors' degree preferred • Experience in a multi-disciplined, consulting engineering environment is preferred • Ability to build strong working and interpersonal relationships with office staff • Ability to effectively incorporate knowledge of organization policies and procedures and knowledge of the particular departments into daily activity • Ability to develop a general understanding of technical terminology and apply that understanding when composing or distributing correspondence or performing general duties as applicable • Ability to interact with staff at all levels as well as outside contacts such as clients or vendors • Availability and the ability to work on multiple projects simultaneously • Comfortable with supporting projects and teams in multiple geographic locations • Availability and ability to work overtime as needed Wo r king C ond i t i on s: • Work is primarily conducted in an office environment (Private, Semi-Private Office or office cubicle) but may also require occasional travel to off-site work locations. • Interaction with other team members, as well as supervisors and client personnel. • Must be able to wear safety equipment as required by the safety department for personal protection. P h y s ic a l R equ ir e me n ts ( Wi th o r w i t hou t Re a s onab l e Acc o mm oda t i on ) : • Must be able to lift and carry five (5) pounds; • Sufficient clarity of speech and hearing or other communication which permits employee to communicate effectively. • Ability to sit for prolonged periods of time. • Sufficient vision or other powers of observation which permits employee to conduct analysis and investigations. • Sufficient manual dexterity which permit the employee to perform routine office duties. • Sufficient personal mobility and physical reflexes to perform office duties and travel when necessary to off-site locations.
