This role plans, organizes, and implements internal, external, and virtual events at Elwyn, as well as support overall advancement activities. ESSENTIAL FUNCTIONS: Leads operations to execute an organization's fundraising strategies, campaigns, and capital development initiatives supporting short- and long-term organizational revenue objectives Plans events and develops communications to increase donor engagement. Uses a donor database and software tools to produce data-driven measurement and reporting of the progress of fundraising goals Leads planning and solicitation of sponsors for third-party events Assist with coordination and execution of event logistics, including but not limited to, room diagrams, set-up and break-down, audio visual needs, catering, event communication, and shipping Source and coordinate vendor relationships Maintain and update budget spreadsheets and event timelines Review and submit invoices for payment Following internal policies and procedures; coordinate and execute contractual agreements Track and report event attendance during and after the event Submit and coordinate event permits in accordance with location and event requirements Assist with event marketing and communication Coordinate post-event activities such as program evaluations/surveys, close-out reports, final participant reports, recommendations for future events, and financial reconciliations Prepare draft post event summary presentations at the direction of the Director or Special Events and or SVP of Development & Communications Manage office mail including scanning all donations and associated documentation Print, scan, and mail correspondence including gift acknowledgements Assist with the internal disbursement of donations including coordinating with program and finance staff; following up on reporting and photos; and tracking activity QUALIFICATIONS, EDUCATION AND EXPERIENCE: Bachelor's degree in Communications, business or related fields preferred. HS Diploma or GED required. Three (3) to five (5) years of experience in event planning or project management Excellent written and verbal communication skills Highly organized Ability to work independently as well as a team member Superior time management skills and multi-tasking abilities Demonstrated advanced experience with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint Flexibility to be able to work weekends and evenings for events and activities Current, valid driver's license in state of residence, three (3) years driving experience, and acceptable driving record PHYSICAL DEMANDS/ENVIRONMENTAL PROFILE: See Physical Demands Checklist below which represents the general physical demands and environment conditions to which the employee holding this position must meet, in addition to the duties and responsibilities listed above, to successfully perform the essential functions of this job.
