Edgewater Technical Associates is seeking qualified candidates for an Administrative Specialist opportunity in Richland, WA to support Hanford Mission Integration Solutions (HMIS) in support of the Hanford Mission Essential Services Contract (HMESC). The Administrative Specialist will report to Hanford Patrol's Deputy Chief of Operations. Location: Patrol HQ Building 2720EA, 200E Area. Schedule: 4 x 10 hours, Monday through Thursday. Specific Job Duties: Perform complex clerical and administrative functions requiring creative thinking, excellent customer relations and a comprehensive knowledge of established procedure processes. Conduct reviews and assist in the publication process for all Patrol policies, procedures, post orders, and other required documents. Compile input and edits procedures, work plans, Hanford Site forms in support of Hanford Patrol Operations. Assist in document creation, organization, transfers, and storage. Manage and maintains office supplies for Operations. Interface daily with Patrol operations personnel. Ensure edited documents are accurate, clear, and concise; written in plain language and free of typographical, grammatical, spelling, punctuation, formatting, and other errors. Organize and attend operational and safety meeting; take notes and/or minutes and distribute as needed. Support the Reliability Program Office with data entry of drug test results, maintenance of active and terminated files associated with drug testing and Human Reliability Program, and data entry of employment eligibility (I-9). Scan, index, and enter information into a variety of database systems, run database reports, and review other related documents for completeness. Perform other duties (as assigned) to assist in the day-to-day operations. Track and distribute Patrol birthday letters for the Chief of Patrol. Additional Duties: Under general supervision, perform a variety of administrative functions in support of management and staff. Receive, screen visitor and telephone calls, providing information and handling issues that may require sensitivity and the use of sound judgment. Gather, prepare, and issue quality and timely correspondence, reports, and presentation materials to ensure product contains zero defects before delivery. Use initiative and judgement during manager's absence to see that matter's requiring attention are referred to delegated authority or handled in a timely manner to minimize the effect of the manager's absence. Maintain calendars and schedules, schedule meetings and coordinate conference rooms; coordinate the manager's interface with other personnel, company organizations, clients, and external groups. Prepare travel and training requests, make and confirm travel and other arrangements for conference and business trips, compile expense reports and request reimbursement of expenditures as appropriate. Provide continuous effort to improve office operations and streamline work processes and work cooperatively and jointly with all levels of management and staff to provide quality customer service. Support managers with tracking completion of employee requirements such as Employee Job Task Analysis (EJTA) forms, timesheets, required training, contract deliverables, correspondence action items and responses, etc. as requested. Initiate correspondence working folders for contract deliverables and other correspondence action items that are assigned to their organizations. This includes management of the eDOCS process for their organization, such as the initiation of tasks and flow of routing through completion to meet due dates. Excess of government equipment to nationalization when applicable. Create and maintain up-to-date desk procedures. Update and maintain organization webpages. Maintain supported manager's organizational charts. Order and maintain supplies. Other duties as assigned Required Qualifications Ability to obtain an elevated "L" Clearance, as requested High School Diploma or equivalent, plus a minimum of five (5) years administrative and / or office support work Working knowledge of basic computer skills and Microsoft Office systems to include: Word, Excel, Outlook, PowerPoint, and Teams Must possess excellent written and verbal communication skills. Must possess keen attention to detail. Must possess strong organizational skills. Must possess strong note taking and data entry skills Desired Qualifications Prior experience providing support to a senior level manager in a large organization Experience with Adobe Acrobat Pro, IDMS, Crystal Reports, and/or Visio. Experience maintaining and ordering office supplies Experience working with mobile devices such as laptops and/or computer peripherals Experience working in a virtual telework environment Prior records management experience Experience with correspondence processing Prior Hanford site and system experience. Compensation Salary is commensurate with education and experience between $34.36/hr. - $38.93/hr.
