Position Summary About the Position: Portland Street Response is hiring an Administrative Specialist II to join our Administrative Team. The Admin II will work closely with our Admin III to complete all tasks associated with responder crew scheduling and timekeeping as well as various other administrative tasks. This position will work a 4/10 schedule, Tuesday through Friday. This position will be in a hybrid work model, reporting to worksite two days per week. About Portland Street Response (PSR): Portland Street Response assists people experiencing mental health and behavioral health crises. The goal of Portland Street Response is to update our first responder system by providing an additional compassionate first response option when 911 is called for someone experiencing low-acuity behavioral health issues. PSR is dispatched by the Bureau of Emergency Communications (BOEC) to respond to non-life-threatening crises currently responded to by Police and Fire, such as behavioral health issues and welfare checks. Resource Efficiency & Prioritization: Respond to the complex care needs of individuals experiencing low acuity crises in the community to enable Police and Fire resources to attend to life saving and crime-related calls for service. The program is expected to: Reduce the number of calls traditionally responded to by Police where criminal activity is not present. Reduce the number of individuals transported to the emergency department for low acuity medical related issues that are more effectively addressed in a pre-hospital care setting. Reduce the number of behavioral health and substance use/intoxication calls traditionally responded to by Police and Fire. Reduce unnecessary emergency department admissions. Improve access to care and resources within the community. Prevent burnout of other first responders. What you'll get to do: Coordinate scheduling for the Portland Street Response and CHAT Programs, including backfilling shifts and managing transfers. Perform payroll/timekeeping duties; ensure pay records are maintained and that data is entered into payroll and/or timekeeping systems in an accurate and timely manner; ensure compliance with relevant labor contract provisions and City practices, resolve discrepancies and correct errors. Support recruitment efforts, including coordinating onboarding activities, ensuring training compliance, and maintaining employee records. Assist the training coordinator with managing and coordinating staff training activities. Develop, establish, and maintain logs, files, spreadsheets, and records systems. Provide general administrative office support for the Portland Street Response, such as order business cards, office supplies, and furniture, schedule conference rooms, and troubleshoot issues related to printer, copier, and computing related issues. Experience overseeing timekeeping and executing personnel changes. Experience organizing, setting priorities, and exercising sound, independent judgement within areas of responsibility. Experience establishing and maintaining working relationships with internal and external stakeholders such as diverse, under-represented communities, all levels of staff, staff of other agencies, business leaders, and others encountered in the course of work. Knowledge and experience developing, revising, and maintaining standardized documents or forms. Preferred Qualifications Although not required, you may have: Experience working in a public safety/first responder environment.
