Role Description: Reporting to the Director, Events, Sponsorships, & Partnerships, the Senior Events Associate will support and execute public facing and internal events for various CoStar Group Brands, including staff events and conferences, sponsorships/partnerships, incentive events, client special events, trade show participation, and event projects that cut across multiple departments. The goal will be to maximize internal or external customer engagement, brand recognition, sales lead generation, a return on investment, and overall attendance. This position is an exciting opportunity for an individual contributor who can work efficiently in a matrixed, fast-paced environment on several projects at one time. The ideal candidate is a collaborative, proactive, creative, and detailed events specialist who can manage projects while partnering with Events team members and staff across the organization to ensure that every project is executed to the highest standards, on budget, and professionally. This candidate should be comfortable operating in an environment of constant change, results-oriented, highly motivated, service-minded, and enthusiastic, demonstrating strong time management and communication skills. Responsibilities: Coordinate CoStar Group participation in industry events as assigned, collaborating with internal departments in planning, branded materials sourcing, audio visual and tech requirements, décor and furnishings, budgeting, signage, invoice reconciliation, and on-site execution. Collaborate on event space usage, layouts, rooming lists, and agendas. Build event applications, websites, registration sites, forms, surveys, and attendee communications. Manage events mailboxes, assignments calendars, design request submissions, and vendor orders. Plan site inspections and prepare meeting materials for participants, including floor plans, capacities, allocations, agendas, contracts, contact details, housing and travel information, etc. Process invoices, financial coding, contract submissions, purchase orders, and other procurement steps. Create PowerPoint presentations for core planning teams or event leads as updates to brand or organization leadership, proposals for approvals, or planning tracking of major projects. Source and manage attendee gifting and other customized materials for various brands. Create and manage Excel grids for all event purposes, including but not limited to food and beverage planning, housing, budgets, project timelines, staff schedules, space usage, agendas, event logistics specifications, transportation, activities, data comparisons, or expense reporting to Finance. Support request for proposals (RFP) processes and comparisons of event venues, hotels, and/or services for presentation and selection by stakeholders. Help to identify appropriate new business relationships, trends, technology, or best practices, creating standard operating materials for team reference. Basic Qualifications: Bachelor's degree required from an accredited, not-for-profit college or university. A track record of commitment to prior employers. 5+ years planning and executing conferences, executive events, special events, corporate incentive trips, exposition logistics, exhibit booth builds, and/or sponsorships. Proficiency with Microsoft Office Suite, notably Microsoft Word, Excel and PowerPoint. Ability to travel for events and pre-event preparation - 15-30%. Ability and willingness to work extended hours and varying work schedules as needed. Preferred Qualifications: Experience with Cvent registration and Applications, Asana, Concur, Oracle, Teams, SignUp Genius, and Microsoft Forms. Strong communication skills, both written and oral. Effective negotiation skills. Meticulous attention to detail and superior organizational skills. Ability to prioritize multiple tasks with demonstrated experience in consistently delivering high quality results. Team player who collaborates and can easily pivot to assist other projects as needed. Proven ability to adapt to fast-paced and changing environments, program elements, and directions - pivoting and prioritizing effectively in responses. Ability to work quickly and effectively under pressure, delivering on last minute requests and remaining detailed oriented. Flexibility and ability to push through indecision and ambiguity to deliver results. Ability to exert up to 20 pounds of force to move objects/boxes. What's in it for you?
