These are the products, innovations, and experiences of future Chubb, built today. What You Will Do We are seeking a highly organized and proactive Executive Assistant to join our dynamic team. As an Executive Assistant, you will provide comprehensive administrative support to our executives, helping them stay organized and focused in a fast-paced environment. You will be an integral part of the company's operations, handling various tasks with professionalism and efficiency. The EA will report to the SVP, Head of Partnerships. Your Responsibilities Coordinate and manage executive calendars, including scheduling and organizing meetings, appointments, and travel arrangements. Prepare and edit correspondence, presentations, and other documents as needed. Generate reports from multiple information sources, and illustrate strong organizational skills in establishing, maintaining, and updating files. Handle confidential and sensitive information with the utmost discretion. Assist with event coordination, including company-wide meetings, conferences, and social events. Prepare and distribute meeting agendas and minutes. Conduct research and compile reports as required. Manage expense reports and reimbursements. Act as a point of contact for internal and external stakeholders, ensuring timely and effective communication. Prioritize and manage multiple tasks simultaneously, ensuring deadlines are met. Commit to administering programs, projects, and/or processes specific to the supported group. Perform general administrative tasks such as answering phone calls, responding to emails, and ordering office supplies. Qualifications Your Skills/Requirements: 5 to 7 years of demonstrated competence in executive administrative assistant functions, preferably gained at a large corporate professional services organization or technology firm and in a fast-paced environment. Excellent organizational, planning, and time-management skills, with the ability to multitask and prioritize a diverse workload effectively. Strong attention to detail and accuracy in process and results and problem-solving abilities. Exceptional communication and interpersonal skills coupled with excellent customer service skills. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Displayed ability to take initiative and foresight to anticipate needs. Self-starter with a can-do attitude able to manage in a fast-paced environment. Demonstrated ability to work with limited supervision and deal with ambiguities and shifting priorities. Effective interpersonal skills to be capable of working with all levels of office personnel. Superior communication skills and ability to handle confidential information. Ability to anticipate the business needs of the executive, both on a routine and a per case basis. Proven track record in supporting the objectives of a senior executive(s). Flexibility to adapt to changing priorities and deadlines. Location: NY/NJ is preferred but open to remote work. Must be able to work east coast time zone. The specific offer will depend on an applicant's skills and other factors. This role may also be eligible to participate in a discretionary annual incentive program.
