Overview The primary responsibility of the Senior Administrative Assistant is to assist the Executive Director and other members of the leadership team in matters of communication and organization. Responsibilities Prepare correspondence and special project documents (letters, memos, protocols, conferences, etc.). Maintain the schedules of the Executive Director and other leadership team members, as assigned. Maintain all aspects of departmental and inter-agency meetings as requested (minutes, agenda, follow-up, etc.). Make necessary arrangements for meetings and events, including: Purchasing and providing food and refreshments Scheduling rooms Sending notices Contacting attendees Maintain all of the Executive Director's files. Coordinate projects as directed by the Executive Director. Serve as liaison for staff communication with the Executive Director and other leadership team members. Distribute assignments to designated team members. Develop and track reports. Some travel to San Luis Obispo and San Benito counties required as needed. Qualifications Education/experience requirements: Bachelor's degree + 1 year of applicable work experience OR Associate degree or equivalent + 2 years of applicable work experience OR High school diploma/GED + 3 years of applicable work experience. Applicable work experience includes any paid or unpaid experience in an administrative capacity requiring customer service, data entry, ability to prioritize multiple projects within strict deadlines, and coordination with multiple departments. Previous experience in comparable position is preferred. Excellent organizational, analytical, writing, typing, editing, and formatting skills. Strong communication skills. Proficiency with the Microsoft Office Suite, Adobe suite, and electronic databases. Ability to prioritize projects. Ability to work as a team member and commitment to intentional teamwork. At least 21 years of age. TB test clearance, fingerprinting clearance, and any other state/federal licensing or certification requirements. Valid driver's license, clean driving record, and insurability through Seneca Family of Agencies' insurance policy. Proof of up-to-date COVID-19 vaccination. Schedule This is a hybrid, full-time role Monday - Friday, with some flexibility Benefits Starting at $26.87 - $29.37 per hour. Actual salary dependent on creditable experience above the minimum qualification. Additional compensation provided upon passing bilingual language proficiency exam. 5 weeks of Paid Time off and 11 Paid Holidays. Salary increases each year.
